Admissions Representative I
to oversee scheduling and arranging all aspects of the daily campus visit experience.
Responsibilities includes:
Pre-visit communication.
Preparation of visitor packets.
Engaging with families upon their arrival.
Providing presentations.
Arranging meetings with admissions representatives and campus departments.
Coordinating campus tours and post-visit follow-up.
The individual assigned to this role assists prospective families and students in understanding the academic opportunities and requirements associated with applying for admission at the University of Montana. This includes knowledge of more than 170 different majors. This position will be required to meet regularly with the daily campus visitors during the fall and spring, often for multiple days at a time. This person will also be able to interpret and deliver information about the University of Montana (i.e., policies, procedures, academic opportunities, admission requirements and student life) to prospective students and families visiting the campus. In addition, this position manages the group visit scheduling process, develops itineraries of age-appropriate programming and compiles and analyzes visit evaluations.
The person occupying this role will operate independently, exercising independent judgement and discretion, with little or no guidance. This position makes decisions on behalf of the Office of Admissions and the university that are appropriate, timely and defensible. They will also display strong organizational skills and communicate effectively, both in writing and orally, with individuals and large groups. The individual will work cooperatively as part of a team with a variety of people, including students, faculty and administrators and will serve as a liaison with other departments and institutions, take considerable initiative in seeking opportunities and developing relationships necessary to effectively promote the University and maximize the campus visit budget.
This position will also support all New Student & Family Program events, communications and outreach, as needed. This person will also assist with office phone calls and email requests and assists with additional admission office responsibilities and functions as needed. In addition, the person assigned to this position is a representative of the University of Montana and must demonstrate the highest levels of personal and professional integrity while reporting to the Assistant Director of Events and Experience.
This position requires incumbent to develop a working knowledge of familiarity with the University of Montana and Higher Education and a thorough understanding of Admissions, recruiting and Financial Aid strategies, policies, procedures and goals. The individual will possess a strong passion for, and understanding of, the programs and disciplines of the University of Montana to project a positive image of the University to prospective students and their families.

Ability to gain thorough knowledge of all UM policies and procedures applying to incoming students with an emphasis in Admissions, Academia, and Financial Aid to provide families with accurate information.
Make sound judgments about the needs of group visitors, based on the group’s demographic.
Ability to initiate contact in person, phone, email, or chat with counselors, parents, students, and faculty in Montana to assist with the resident recruitment efforts.
Ability to work effectively in a team setting.
Ability to effectively plan and exercise decision making skills along with analyzing information and developing solutions to problems.
Ability to troubleshoot issues
Ability to maintain a positive working relationship with student workers, colleagues and campus community.
Willingness to cross-train with other Admissions personnel in order to assist with work overflow or to fill in as needed in an absence.
Ability to support the Admissions Office’s involvement in university open houses.
Ability to attend outreach events as needed.
Proficient using a PC and related programs, such as Microsoft Word, Excel and Outlook.
Ability to sit and stand for long periods of time.
Ability to serve as front desk receptionist and field inquiries from students, parents and high school counselors as needed.
Minimum Required Experience
Bachelor’s Degree and two (2) years related experience or an equivalent combination of education and experience that would provide the competencies required to successfully perform the duties assigned to the position.
Valid driver’s license and exemplary driving record.
Preferred Qualifications
Knowledge of the academic programs and services offered at the University of Montana
Strong customer service/public relations background
Knowledge of Banner and Slate CRM
