is seeking applications for an
Assistant Director
with the
Admissions/New Student Services
department. This position plays a critical role on the Admissions leadership team and to the execution of the University of Montana (UM) enrollment strategy. The Assistant Director provides leadership and oversight to personnel and day-to-day operations in admissions evaluations. This position is responsible for improving the student experience by developing new, innovative strategies intended to streamline processes and improve efficiency.
The Assistant Director must provide direct supervision of Admissions Evaluation staff members (including hiring, training, succession planning, performance management, and management of corrective/disciplinary actions). This position will oversee and set priorities to maintain an efficient departmental workflow, and schedule, assign and prioritize workloads of supervised staff members. The Assistant Director will also assign tasks to optimize performance of the evaluations team, plan and coordinate semester/annual and ad hoc projects, set appropriate deadlines, and ensure timely completion of the unit’s work. The Assistant Director reports directly to the Director of Admissions.
Key Duties and Responsibilities:
Development and creation of goals and expectations for admissions evaluations using data analysis
Oversight of standards and procedures. Forecasts departmental needs and assessment
Develop and maintain up-to-date operations manuals that document policies and procedures
Track and assess programmatic needs, make proposals for strategic planning
Provide direct supervision of Admissions Evaluation staff
Schedule/assign workloads and tasks to optimize performance of the evaluations team
Coordinate semester/annual and ad hoc projects and set appropriate deadlines
Ensure timely completion of the unit’s work
Maintain cross-training in all processes and functions relating to Evaluations; and maintain an ability to step-in and complete tasks as needed
Interpret, research, create, and maintain policies, decisions and appeals, including consulting with and recommending decisions to the Director of Admissions, as appropriate
Create efficient and effective policies and procedures using expert knowledge in CRM software; manage area’s reporting and assessment using the CRM.
Coordinate with IT on the flow of applications for admission and other process improvements
Ensure compliance to FERPA regulations, act as department liaison/expert in FERPA
Provide comprehensive knowledge of admission requirements, residency policies, other University policies, procedures and regulations for international and domestic students
Serve as a part of the Admissions leadership team to set strategic priorities
Act as Admissions Evaluations expert resource
Research and analyze complex problems, work to identify best course of action. Bring systemic or procedural problems to the attention of Director of Admissions
Ensure exceptional customer service to internal and external stakeholders is delivered in a timely manner
Facilitates a strong working relationship between evaluations and recruitment, and shares information and trains new counselors on operations policies/procedures
Trains staff members on processing policies and procedures, reporting and data
Attends meetings and committees as a representative of admissions, or a stand-in for the Director of Admissions
Collaborate with Registrar, Account Services, Financial Aid, Academic Advising and Colleges to ensure smooth student transition from applicant to enrolled students
Assist in development of communication to prospective and current students

Position Details
Position is full-time, 1.0 FTE, MUS Contract and includes a comprehensive and competitive benefits package
including Insurance package, mandatory retirement plan, partial tuition waiver, and wellness program.
Salary for this position is $50,000 - $62,000 per year commensurate with qualifications.

Required Experience
Bachelor’s degree and two (2) years of progressively responsible and relevant experience, or an equivalent combination of education and experience

Experience in admissions, student recruitment or student records environment
Ability to create an office culture of constant improvement and student-centered support and policies
Commitment to innovation and use of technology to improve student experience
