The Accommodation Team are seeking a new Assistant Administrator to deal with public facing enquiries in our busy office. The University manages around 1750 bedrooms mostly occupied by first year undergraduates on the Plymouth campus and in the nearby student village, as well as supporting small cohorts of health students alongside our NHS partners in Torbay, Taunton and Truro. The role will be office-based working closely within a team responsible for new student enquiries, bookings, and rent account enquiries as well as welfare, our social programme and ensuring a positive community experience. You will be the first point of contact via the telephone and the generic inbox, answering routine queries independently and ensuring that more complex issues are passed swiftly to the appropriate team. Many enquiries come from parents or families and you may need to deal with occasional sensitive or upsetting information according to protocols such as confidentiality and GDPR. The team experiences peaks of work during clearing and student arrivals and some flexibility will be required during these times. Due to the nature of the service, there are occasional tasks undertaken by all the team members at different points of the year. These may include, directing arrivals, preparing event materials, taking minutes, room checks, etc. The University's Open Days and Applicant Days give prospective residents an opportunity to meet the team and ask questions face to face and are an important part of the team's role. You will be confident meeting with and speaking to new people in person and on the phone. You will have good attention to detail and be able to follow processes and published information to give clear and accurate answers to enquiries. You will be using bespoke Accommodation Software 'Starrez' to track bookings, occupancy and make records of all interactions. Although training will be given you will need a basic understanding of data entry as well as sound skills across all MS word packages. You will have strong customer service skills and be able to resolve presenting issues and provide calm and confident responses to concerns. Ideally you will have worked in an education setting or be able to demonstrate some insight into the sorts of issues which students face. You will have strong written communication skills and be able to demonstrate appropriate use of written English and ability to compose responses; as processes are regularly reviewed, you will have the ability to maintain and refresh your knowledge for example following annual review of the Accommodation Licence, Government updates or changes in the law which may affect residents. This position is based on the University's campus adjacent to Mary Newman Hall of Residence. The Accommodation team work closely to support students and provide an excellent experience through customer service and ongoing development of student engagement and the Residence Life programme of events. During working hours you will be the key front of house contact, however there is some flexibility within working hours and days for the right candidate. All colleagues are required to work flexibly and support our key Accommodation events through the academic year. Both Arrivals and Open Days require flexibility to work on approximately 8 Saturdays, dates of which are confirmed for the year ahead and time taken in lieu.
