School of Visual and Media Arts (SVMA)

and the

Montana Museum of Art and Culture (MMAC)

invite applications for a

Program Coordinator II

to join their team on campus. This position serves as the primary liaison for the School of Visual and Media Arts and the Montana Museum of Art and Culture, representing the SVMA and MMAC in a wide variety of local, state, regional, and national venues; plays a key leadership role in SVMA College-level projects and programs; and is the lead for all School communications. This work encompasses all administrative operations of the school, collaborating with other UM departments, schools, and colleges.

This position is often the first point of contact for faculty, students, staff, administrators, and visitors to SVMA and MMAC. This position requires basic organization, skills in coordinating projects, and ability to maintain confidentiality.

Specific duties include, but are not limited to:

Greeting and providing information to students, parents, high school teachers and counselors, other campus programs, and school/university leadership.

Providing clerical support for the directors, faculty, and staff.

Generating, formatting, and maintaining reports, and providing more complex information to internal and external customers.

Coordinating events, workshops, projects, conferences, and maintaining social media sites.

Coordinating faculty evaluation process.

Coordinating graduate school admission process.

Serving as a liaison for building maintenance, including but not limited to, work orders with Facilities Services, maintaining key codes for coded classrooms, updating lists for GrizCard swipe entry; maintaining storage and archive room.

Assisting in maintaining programmatic accreditation.

Routine website management and maintenance.

Hiring, training, and supervising work-study and non-work-study student employees.

Maintaining building security (after-hours access, keys, etc.).

Assisting with new student orientation.

Maintaining student files and upkeep of electronic files.

Updating office procedural manual and student handbook as needed.

This person is responsible for event planning and coordination for SVMA and MMAC, including but not limited to art shows and various camps, Homecoming events, faculty retreats, graduation ceremonies, and various other events.

In collaboration with the school’s fiscal manager, incumbent will collect and enter student timecards into the GTO system or other HRS-appropriate payroll systems.

The position requires the incumbent to develop knowledge of Banner, UMDW, InfoGriz, and other University programs; familiarity with UM faculty/staff personnel procedures; deep understanding of UM curricular, advising, and administrative procedures.

This person is responsible for gathering scholarship information for the director, managing pertinent information for scholarships and following up to confirm that scholarships were distributed properly.

Required Skills

Demonstrated knowledge of professional office practices and procedures.

Ability to write, edit, and layout documents in a variety of formats suitable for the intended audience.

Demonstrated interpersonal, public relations, and communication skills including the ability to work with a diverse group of individuals at all levels.

Ability to maintain and/or develop efficient processes that collect, interpret, manage, organize, assemble and maintain electronic and physical filing systems.

Demonstrated skill and ability in the operation of personal computers and related word processing, spreadsheet, and database software.

Must possess the ability to learn quickly and utilize new/proprietary software programs.

Demonstrated skill and ability to operate standard office equipment: printers, copiers, multi-line phone systems, etc.

Demonstrated organizational, time management, and multi-tasking skills and ability to meet deadlines in a busy environment.

Proven ability to set priorities, delegate tasks and pay close attention to detail.

Ability to synthesize and analyze complex information and discern trends.

Ability to take initiative, work independently and problem-solve.

Minimum Required Experience

High School diploma and four (4) years of relevant work experience or an equivalent combination of education and experience

Preferred Qualifications

A Bachelor's Degree

Experience in higher education

Knowledge of UM computer programs such as InfoGriz, UMDW, Banner, CyberBear, UM Scholarship Portal, room scheduling software, etc.

Working knowledge of Microsoft Office Suite
