Student Accounts Specialists
Under the direction of the Associate Director of Student Accounts, the Student Accounts Specialist is an integral member of the Student Accounts Team and is expected to provide quality customer service in a team-focused, fast-paced, and continuously evolving environment. This position requires an employee that can work with limited supervision, perform professionally under pressure, be capable of identifying priorities to meet deadlines and effectively provide clear and concise information to all customers. The Student Support Specialist is expected to be professional and courteous in all aspects of their job and to represent the UM in a positive and professional manner.
Customer service duties will include telephone, walk ins, account questions, account analysis, correspondence, emails, etc. The Student Support Specialist will be required to analyze and explain in detail a student's account to a varied customer base. They must know and understand federal and state laws as they pertain to the privacy and collection of students' accounts. They will be expected to have a general and functional understanding of all tasks and duties handled within Student Accounts. This Specialist requires a high level of collections of all accounts receivable for the University. The Specialist will also be expected to have a general basic understanding of the entire student experience including admission, registration, financial aid and account payment processes.
This role, and the associated duties, supports the mission and goals of the institution, the division, and the department.
The Student Accounts Specialist will share and assist in the following tasks and functions of Student Accounts.
Monitoring and handling of emails in the various Student Accounts email folders
Receive, review, and process all monies regarding student account deposits and payments
Assist with financial billing of student accounts, to include the mock assessment process
Update Banner system for Financial Account Confidential Information forms
Documenting history comments on students’ accounts
Assisting customers with the completion and submission of a variety of forms and documents (i.e. Authorization to Release Confidential Financial Account Information, State Warrant Replacement, Late Registration Fee Waiver, Foreign Wire Transfer, AR Repayment Agreements etc.)
Perform collection duties, to include the following: articulate state and federal collection requirements to students and the campus community, negotiate services with the University’s contracted collection agencies, research student’s payment history and ability to pay, review and approve non-traditional repayment agreements, note delinquent accounts and perform the correct collection action, identify bad debt
Review and approve deferred payment plan agreements
Understand, effectively communicate, and explain the charges and balances due on students’ accounts, provide itemized statements upon request, and explain payment options and payment plans
Complete Montana Warrant Replacement requests
Assist as needed with cashiering functions as related to student account processing, to include accurate cash handling, check recording, and payment recording for student payments
Crosstrain and support other Student Account functions as needed
Assist as needed in the monthly billing process and other tasks as assigned
Required Skills
Strong customer service and communication skills, and the ability to have consistent positive interpersonal interactions with students, families, agency representatives, faculty and staff.
The ability to maintain strict confidentiality
The ability to adjust quickly to changing job demands
Comfortable using multiple software/database applications
Minimum Required Experience
High school diploma (or equivalency) in addition to two (2) years of closely related experience; or any combination of experience and education.
Preferred Qualifications
Associate’s or Bachelor’s degree in accounting, business, or related field.
Prior experience in higher education and/or student accounts.
