invites applications for a
Program Coordinator II
. This position assists the Director of Ticketing and Assistant Ticket Office Manager with the overall operation of ticketing functions for events hosted by the Adams Center and Washington-Grizzly Stadium, including University of Montana Intercollegiate Athletics sports, touring concerts, other UM live entertainment and special events. The ticket office sells 280,000 tickets annually with sales in excess of $10 million. The person assigned to this position must have exceptional customer service skills both in person and when communicating by phone or email. The person assigned to this position is responsible for the supervision of part-time employees and student workers and provides training support for other ticket office team members.
The person assigned to this position provides policies & procedures education and Paciolan software training to internal personnel, including newly hired employees and student workers as well as external stakeholders in Intercollegiate Athletics. This individual will have a high level of public interaction, educating ticket buyers on managing their online accounts, ticket transfers, mobile ticket delivery, mobile entry, and other system enhancements. This position requires management of several ongoing special projects that need consistent, detailed attention without a great deal of oversight.
This position provides overall direction for ticketing services for assigned sports and events and manages all related activities including, but not limited to:
Creating event builds in the Paciolan ticketing system;
Overseeing season and single game ticket sales;
Managing season subscriber lists;
Reconciling high volume sales and cash receipts;
Providing exemplary customer service to public & student ticket buyers, season ticket holders, event promoters and clients, and other campus units;
Serving as a liaison with Intercollegiate Athletics marketing, premium sales, operations and sports information departments;
Maintaining accurate marketing and ticketing information on the Internet point-of-sale platform and oversight of budget and sales revenue for assigned events;
Developing a group sales program for concerts and family shows and actively prospect for, and sell group tickets to community constituencies;
Managing all aspects of ticket sales for off-site Intercollegiate Athletic events such as soccer and softball and may provide management-level night-of-show support for other Adams Center events.
This position requires incumbent to develop working knowledge of the following skills, post-training:
Ability to serve as a liaison to University of Montana Intercollegiate Athletics and the Grizzly Scholarship Association in regard to ticketing issues and customer relations
Basic knowledge of NCAA and Big Sky Conference rules and regulations regarding athletic events
Schedule, train, and supervise student employees
Ability to upsell tickets to events and games
Ability to manage a group sales program for concerts and special events
Ability to monitor ticket sales to manage ticket inventory under the guidance of the Director of Ticketing
Ability to build events in the Paciolan ticketing system (date / time / venue / sales date / ledgers / web parameters, etc.)
Perform other duties as assigned

An understanding of season ticket sales and renewals
Ability to manage the ticket office and staff for various assigned events
Ability to interact with a diverse clientele base and adjust appropriately to a variety of needs
Ability to serve the GrizTix customer base daily through personal interaction, phone, mail, email and social networking, resolving any ticketing or customer issues
Knowledge of basic accounting practices, specific to a ticket office setting
Knowledge of sales techniques and best practices
Minimum Required Experience
Minimum of two (2) years ticket office experience
Preferred Qualifications
Two (2) years of post-secondary education with two (2) years of ticket operations experience or an equivalent combination of education and experience
Professional experience in a University setting with familiarity of athletics operations
Experience with Paciolan ticketing software (Pac7, SB Client, Salesforce, CRM, PacMail, eQuery Reporting, etc.)
Sales and/or marketing experience
Demonstrated understanding of common fiscal duties
