Job Summary
*Under general supervision for a designated administrator, perform responsible administrative staff functions for a designated University official.
Job Duties
*Perform responsible administrative staff functions for Chair of Cancer Biology, frequently of high priority and confidential nature, concerning administrative activities of a substantial complexity *Develop and modify office/departmental policies and procedures for efficient operation; adhere to and advise chair, faculty, staff and students of university and departmental policies *Schedule and coordinate meetings/events; prepare agendas, meeting minutes and action item follow-up *Manage complex calendars, scheduling, while prioritizing meetings and appointments *Monitor and address critical E-mail correspondence; prepare correspondence on behalf of chair *Proof reading and assistance in manuscript and grant proposal preparation and submission for chair; provide assistance for chair research laboratory operation *Arrange chair and faculty travel, complete travel authorizations and expense reports *Assist with faculty recruitment; provide support for search committee, manage applications, arrange visits and itineraries for top candidates, assist with faculty appointment process of finalist *Responsible for coordinating faculty appointment, reappointment, promotion and tenure process. Notify faculty of dates, provide criteria and workload documents, assist faculty and chair in obtaining letters of recommendation and assist faculty with dossier *May serve as the point person for faculty, students and staff in the department of Cancer Biology *Establish and maintain liaison with other university offices, as well as external offices and federal, state and local agencies to ensure conformity to external policies and procedures *Perform related duties based on departmental need
Minimum Qualifications
*Bachelor's degree and three (3) years’ experience; -OR- Associate's degree and five (5) years’ experience; -OR- seven (7) years’ experience *Degree and experience must be in a related field *Some positions may require experience in university administration *Experience may also require at least one (1) year supervision
