We have vacancies for part time Assistant Hall Officers within our Accommodation Services Team. Providing a dedicated presence around our halls of residence your main role is to ensure that students feel safe and secure and are encouraged to be responsible members of our community. Approximately 1750 students live in our University Halls and Assistant Hall Officers provide a point of contact for student concerns from 10 am to 9pm daily working on a rota. You will be visiting flats in rotation to check on wellbeing, and reporting issues of cleanliness or conduct which may affect our community. You will also be reassuring and supporting students away from home, many for the first time. You will respond to lock outs, reset trip switches and escalate maintenance issues to our out of hours support team and will keep students updated through social media, e-mail or telephone. Assistant Hall Officers also help supervise social events and visits ensuring that students can make the most of their time in halls. Working closely with full time Hall Officers, you will follow up incident reports and undertake some information gathering when reports are made for example noise, smoking or accidental damages. Although you will be part of a team, you will need to be able to use your initiative and make quick decisions, sometimes in difficult situations and accept the risk associated with this type of work. Assistant Hall Officers are sometimes alone on duty outside normal office hours, however there is on site back-up of the security team 24 hours a day who work closely with accommodation. You should be able to work effectively without direct supervision, follow handover instructions from the office team and provide a handover in turn. It is essential that you have a good IT skills and sound working knowledge of the Microsoft Office suite especially Outlook and Word. Training will be given to use our StarRez system to record interactions with the students but experience of databases and spreadsheets will be helpful. You will have a sound awareness of health and safety matters, and due to the nature of the work you must be in good health and physically fit as appointment will be subject to satisfactory medical screening. A proportion of each shift will be spent touring inside halls including blocks which do not have lift access. Experience of working with people from a wide range of backgrounds preferably in an education, community or housing context is desirable but not essential; you will receive training from the existing team. You will need an ability to respond to varied concerns raised by students whilst remaining sensitive to individual needs and circumstances, ensuring that students are signposted to the appropriate University services where specialist support is required. Special Arrangements: These posts are salaried however the working pattern varies and a shift allowance is paid in recognition of this. Hours per week - 18.5 (0.5 FTE) with a requirement for some flexible working at peak times. The salary is Grade 3 14% Shift allowance (£11,742 - £12,684.78 actual salary). The post will involve working approximately 3 x 6.5 hour shifts per week on a 4 weekly rota, covering 9am – 9pm, including weekends and some bank holidays. You will work 2 weekends in every 4. Some additional hours may be worked during key events such as arrivals weekend. You will work a revised rota during July and August when the majority of the halls are vacated and will be required to take at least 3 weeks of annual leave during this period. Annual Leave is restricted in September /October and the Christmas and Easter vacation periods (excluding Christmas Day, Boxing Day and New Year’s Day) to ensure that students who do not return home are not isolated.
