Program Coordinator II.

This position is located in the Office of Field Experiences and The Program Coordinator II will report directly to the Director of Field Experiences. This office arranges field placements related to the clinical preparation of teacher candidates in P-12 settings in accordance with the policies of the Montana Office of Public Instruction and UM’s Department of Teaching and Learning. The Program Coordinator II is a representative for the Office of Field Experiences and a liaison between the partner schools. They help to secure student teaching placements and field experiences, support university supervisors, cooperating teachers, and teacher candidates. Additionally, they are responsible for related administrative tasks such as payroll and assorted budgetary tasks.

Key responsibilities and duties include, but are not limited to:

Oversight and Coordination of Clinical Experience Efforts

Coordinates clinical experience placements of T & L Secondary Ed 202, and Ed 395 in schools within a 30-mile radius of Missoula.

Arranges placements of teacher candidates for student teaching by working with school administrators and/or district human resources offices.

Processes requests for professional development credit for cooperating teachers.

Co-develops and presents seminars each semester to support candidates’ professional development during their field experiences.

Meets with candidates who apply to student teach to discuss program expectations and candidate placement preferences.

Attends meetings on behalf of the director as needed.

Accompanies the director to on-site visits during the semester at participating schools as needed.

Leads and/or participates in the following:

Assists in the development of guides, packets, videos, and handbooks for candidates, teachers, and supervisors.

Conducts surveys/studies relevant to field placements, student teaching, and supervision.

Oversees the intake, dissemination, storage, and advisement of background checks for all candidates seeking licensure.

Conducts informational sessions for clinical experiences to all secondary and special education candidates.

Fiscal Management

Collects and prepares payroll and employment records, determines appropriate method and amount of pay for university supervisors and cooperating teachers.

Organizes and submits mileage reimbursement for university supervisors.

Tracks and submits course registration fees for cooperating teachers and university supervisors.

Monitors revenue, tracks expenditures and reconciles finances.

Contributes to budget projections for the upcoming fiscal year.

Communication and Collaboration

Acts as a liaison between the College of Education and K-12 partner schools.

Collaborates with the director to develop a communication plan to promote awareness and understanding of field experience policies and protocol for students, UM faculty and administration, and P-12 partners.

Provides technical advice, problem-solving assistance, and answers to questions regarding student field performance.

Service to UM and the teacher preparation field

Participates in committees designed to improve the quality of service to students and colleagues.

Participates in planning the annual CoE Scholarship Reception.

Collaborates with UM Office of Experiential Learning and Career Success to support the annual Educators’ Career Fair.

Analysis and Evaluation

Assesses the effectiveness of field experiences in concert with others.

Ensures the collection of data and artifacts needed to meet accreditation standards.

This position requires incumbent to develop a working knowledge of

Understand and use Montana OPI and CAEP accreditation guidelines to inform policies and practices.

Knowledge of and ability to implement DOJ background check procedures in accordance with federal guidelines.

Ability to use campus applications such as Banner, Submittal, GrizMart, etc.

Required Skills

Strong interpersonal skills and positive attitude.

Ability to work independently and in collaboration with others.

Ability to exercise diplomacy and good judgment.

Basic knowledge of budgeting.

Familiarity with Microsoft Office.

Strong oral and written communication skills, including the ability to present reports, offer seminars, and provide professional development opportunities.

Excellent organizational and time management skills as this position requires one to meet deadlines in a busy environment.

Ability to set priorities and pay attention to details.

Ability to maintain confidentiality and display professionalism.

Minimum Required Experience

Bachelor’s degree, as well as at least two (2) years of related work experience; or any combination of experience and education that would provide the competencies required to successfully discharge the duties assigned to this position.

Preferred Qualifications

Experience teaching in a P-12 school setting.
