Graduate School
invites applications for a
Program Coordinator II
to join their team. This position will have several duties related to organizational and administrative tasks, such as University of Montana Graduations Coordinator, receptionist, accounting and budgeting, and project management. The
Program Coordinator II
will assist with providing functional supervision to student workers (including training responsibilities) as needed.
Key duties and responsibilities of this position include:
Provide training and supervision to work-study students, graduate students, and temporary employees in areas pertaining to admissions, electronic file maintenance, communications, and Graduate School business practices
Coordinate activities related to processing admission applications for all UM graduate programs:
Recruiting, admission, and denial of graduate students, including attention to the scale, admissions funnel, and diversity of the applicant pool
Work with programs to maintain accurate and engaging admissions portals
Work with programs to develop communication plans and effective recruitment processes for generating and pursuing admissions leads.
Monitor and maintain accurate files for admitted students.
Contribute to coordination of electronic marketing/social media.
Attend training and work cooperatively with the Global Engagement Office to become certified to generate visa paperwork for incoming international students.
Assess and assign residency status for incoming students.
Consult with departmental administrative staff to improve functioning of application and admission processes and advise departments on international admissions.
Provide direct student service by answering the phone, assisting walk-ins, and electronic correspondence regarding admission and current status. Develop and maintain training manual.
Cross train with Program Manager in order to assist with graduations.
Work with technical staff to edit and maintain Graduate School web site and electronic marketing efforts, continuously updating them to keep them fresh and effective.
Work with IT personnel to implement Slate Admissions program. Train and support departmental staff on using Slate for admissions, recruiting and communication plans.
Develop and maintain communication plans for Graduate School business.
Most compelling complexity of the position is the need for scrupulous accuracy in application and admissions processing, as well as maintenance of student records; familiarity with a number of computer applications or demonstrated ability to learn them; and ability to know and disseminate fluctuating requirements of all degree programs, including knowledge of Graduate School policy and Graduate Council modifications, exceptions, and changes of policy. Work requires the use of intellectual analysis and evaluation and the application of professional principles and practices to run departmental operations.
Upon completion of training, the incumbent will have developed:
Familiarity with Banner, Excel, AXIOM, SEVIS, fsaATLAS, and CollegeNet programs
Familiarity with Graduate School policies and procedures, including (but not limited to) admission and degree requirements of individual departments, understanding of recruitment principles, familiarity with procedures for status changes, and generation of visa paperwork
Required Skills
Considerable knowledge and skill in the Microsoft Office Suite
Highly developed ability to gather and interpret Information
Ability to work cooperatively and professionally with faculty, staff, UM departments, and students
Ability to learn, assimilate, process, and disseminate detailed information
Exceptional ability to communicate effectively and accurately (including both oral and written communication)
Familiarity with the academic process
Ability and willingness to learn, implement, and work with new technology
Minimum Required Education
High School Diploma and two (2) years’ experience or an equivalent combination of education and experience
Preferred Qualifications
Banner experience
Advanced college coursework or complete college degree
Extensive knowledge about and relationship with the various graduate programs that allows the knowledge of what information to put out on the Graduate School’s social media marketing avenues.
Presentation Skills
Clearly articulate complicated information to audiences who may have limited English speaking abilities
Knowledge of immigration regulations
Knowledge of UM’s strategic plan in regards to recruitment of international students and minorities
Knowledge of international and national indigenous cultures
Knowledge of tribal enrollment policies
Knowledge of American Indian funding at the tribal, state, and national level

The Graduate School is responsible for promoting the advancement of graduate learning through scholarly research and instruction and recognizes the achievement of this goal by awarding of advanced degrees. The Graduate School has primary responsibility in the approval of new degree programs, recruiting and admission of students, recommendation of degree recipients and selection of faculty allowed to teach and supervise graduate students.
