Job Description:
A full-time, year-round position to provide clerical support to the Corporate and Community Education (CCE) department. Assists with daily operations. Some weekends required. Some weekends are required.
Duties and Responsibilities:
Acts as receptionist for the CCE department, exhibiting good communication skills, excellent customer service skills, and maintaining a friendly, professional attitude to all college personnel, community resources, students, prospective students, and guests of the college.
Performs various clerical duties for the CCE department, including, but not limited to, answering telephones, filing, copying, processing mail, organizing and maintaining records and materials, purchase orders, business office documents, ordering supplies, maintaining supply inventory, generating maintenance work orders, etc.
Maintains current knowledge of all CCE offerings, providing information to callers and directing inquiries to appropriate staff. Must be able to handle a large volume of inbound calls and outbound calls to provide students information about procedures, funding, regulations, and course logistics.
Works with Director, Corporate and Community Education, CCE Coordinators, and team to maintain student records (CCE students and apprenticeship students), data collection, track progress and assist instructors with clerical duties.
Develops and maintains an electronic waitlist and prospect database for all CCE courses.
Assists in the planning and day-to-day operations of all CCE classes and activities.
Assists with preparation, registration and billing of CCE classes; assists in other bookkeeping duties as assigned.
Prepares reports for and corresponds with American Safety Institute and the Florida Department of Motor Vehicles.
Responsible for the scheduling for all CDL courses, refreshers and exams.
Responsible for scheduling CCE classes in Banner and other processes outlined in CCE procedures; prepares and maintains appropriate files, course approvals, and instructor contracts; compiles data and progress reports.
Assists director and team with the SFSC Website and all marketing efforts for Community and Corporate Education.
Monitors and reports on enrollment numbers and provides relevant management information to the CCE Director, staff, and instructors.
Monitors customer surveys and student evaluations and report results to Director.
Assists in the set-up of classrooms, auditoriums, theatre, lobbies and Crews Center for activities and events and provides support to the CCE Director, staff, instructors, and students (registration, setup, and distribution of materials).
Responsible for the Outlook calendar listing all workshops, courses, events and room requests designated for CCE.
Contributes to unit planning, assessment, and college institutional effectiveness.
Acts in accordance with College policies and procedures.
Performs other duties as assigned.
Requirements:
Educational:
Minimum of an Associate degree in Office Administration (or equivalency) preferred.
Experiential:
Minimum of two years of secretarial/clerical or related experience preferred.
Other:
Proficient typing skills and computer skills preferred. Advanced knowledge of Microsoft Office Products including Word, Excel, Publisher, and PowerPoint preferred. Strong organizational skills preferred. (Some weekends are required.)
