(OCRS) invites applications for a

Budget Analyst IV

to oversee:

Grant Support:

This position provides comprehensive support for federal and private grant management. This individual will work with centers that report up to OCRS. They will accurately conduct reasoning, interpretation, and accounting/budgeting information using spreadsheets and reports.

This includes, but isn’t limited to:

Reviewing grant budgeting, assisting with the preparation of grant budgets, and working with the Principal Investigator (PI) throughout the life cycle of the grant

Reviewing grant expenditures and ensuring expenses are within budget and grant guidelines

Preparing contracts like Letters of Appointment, Graduate Student contracts, faculty contract adjustments and staff compensation instructions based upon project needs and coordination with the employee’s academic department. This must be done in concert with the Budget Director

This position shall establish and maintain productive working relationships, and act as a liaison for, positively representing ORCS through effective interaction with the public, the sponsored programs office, academic departments, campus administrators, faculty, staff and students.

Financial & Administrative Support:

This individual in this position is responsible for, but not limited to:

Accurate completion of personnel forms, either in U-Approve or in paper format if the form is not available in U-Approve or EPAF

Processing payroll via Griz Time Online (GTO) for staff and students

Redistributing and reconciling University of Montana credit cards (pro card)

Procuring transactions and invoices that will be processed and submitted into GrizMart

Assisting in completing accurate ‘Request and Authorization to Travel’ forms and travel expense reports for travelers within ORCS

Depositing to UM Treasury for various depts that may come in

Lab Animal Resources support and billing

UM Foundation reimbursements when needed

Financial & Operations Support:

In conjunction with the Director of Finance and Operations, this individual will oversee:

Payroll oversight.

All payroll entered by ORCS staff will be reviewed and approved into GTO system by this position

Being the approver for GrizMart transactions that come through the ORCS office and have general oversight of GrizMart transactions

Tracking and reporting allocation activity for ORCS

Creating new workbooks to track inception-to-date financial allocations

Working with the Director of Budget and Operations to review spending

Maintaining data integrity through complex reconciliations to UM Data Warehouse, Banner and other UM software

Assisting the Director of Budget and Operations in yearly budget process and special projects as needed

UM Foundation reimbursement and review and UM Foundation monthly fund review

Responsibility for preparing and reviewing Human Resource contracts, including Letters of Appointment and Graduate Contracts for ORCS

Coordinating with the ORCS Director of Budgets and Operations

Coordinating with administrators, directors, and staff in the various centers across campus, that report to ORCS

Grant Payment Posting & Research:

Responsibilities will include:

Completing the daily grant posting process for the Office of Sponsored Programs (OSP).

The incoming payments may be in the form of a wire, inter-unit journal voucher, UM Foundation fund notification, credit card transaction, check, or a single mixed payment that includes multiple payment types.

New Faculty Startup Support and Management:

This individual will:

Work across campus with new faculty members receiving research start-up funds from ORCS.

Provide counsel with faculty members and staff in order to determine and develop budgets that incorporate personnel, operating costs, equipment, or any additional items that were established in the new faculty offer letter.

Initiate new index requests for faculty research start-up funds.

Requests for faculty start-up funds vary in complexity and require a quick turnaround time, often-requiring immediate attention.

Perform monthly review of research start-up funds, provide faculty members and/or their staff feedback on expenses and financial status of funds, on an ongoing basis.

This employee will work in a campus office environment with three other staff members and the Vice President of ORCS and the Associate Vice President of Research for Global Change & Sustainability.

This position requires incumbent to develop a working knowledge of the Cayuse grants management system and other UM systems and software needed for the job.

Required Skills:

Proficient with Microsoft programs like Word, Excel and PowerPoint

Demonstrated competency in completing multiple and complex tasks with attention to detail ad accuracy

Ability to organize and prioritize work with multiple deadlines while also paying attention to detail

Ability to course correct any budget or expense items that fall outside of grant parameters

Professional written, verbal and interpersonal skills

Ability to learn and follow the unique processes for identifying all OSP payments, claiming and receiving the payments, determining which grants should receive the payments, and processing the payments

Ability to learn and become proficient with the software systems used for deposit entry

Ability to develop strong and positive working relationships with sponsors and individuals in the Treasury and Business Service offices

Understanding of the varied methods by which grant payments are received

Ability to evaluate information submitted via wire transfers, IUJ’s, and checks

Knowledge of grant funding, grant rules and grant guidelines from both federal and private sponsors

Knowledge of financial management and spreadsheets

Advanced financial experience

Demonstrated ability and experience in workbook development and budget tracking for multi-year commitments

Ability to have professional and courteous interaction with administrators, directors, deans, department chairs, faculty members, and staff

Minimum Required Experience:

Bachelor’s degree and two (2) years’ experience or an equivalent combination of education and experience

Preferred Qualifications:

Knowledge of the University of Montana financial systems
