invites applications for an
Academic Advisor III
to join their team. The person assigned to this position will assist the College of Humanities and Sciences (CHS) Director of Student Success to oversee the CHS Advising Center and the professional academic advisors within the center and serves in the Director’s stead as needed. The position collaborates in developing advising materials, recruitment and retention materials, policies and initiatives for the College, and assists in implementing undergraduate advising protocols for the CHS. Additionally, it assists in addressing existing and prospective student advising needs. In particular, the person in this position will:
Continue to design and implement the CHS Student Ambassador Program with a focus on recruitment
Plan and coordinate events for prospective students and Ambassadors to heighten recruitment success
Coordinate and schedule interaction between prospective students and Ambassadors
Plan recruitment efforts with leadership of the College to meet strategic student recruitment goals
Serve as a liaison to the University of Montana (UM) Admissions Office to track central recruitment planning and make certain CHS efforts are consistent with UM goals and approaches
Coordinate and schedule faculty and chairs to meet with visiting prospective students
Supervise student workers in the CHS Advising Center
Supervise and train new professional advisors in our center
Assist in the administration of scholarships
The individual assigned to this role also serves as the primary advisor with an assigned caseload of undergraduate students. This employee will collaborate closely with the department chairs and program directors in order to be well versed in curriculum requirements, and support retention and recruiting efforts. The person occupying this position will also forge relationships with staff in UM campus offices that provide student services (such as TRIO, ODE, Career Services, Financial Aid, Honors College, Writing Center, Tutoring Services, Graduation Office, Academic Enrichment, the Writing Center, and the Office of Student Success) in order to make effective referrals.
Essential duties associated with these responsibilities include:
Establish expertise in knowledge of curricula to advise students in assigned academic programs
Maintain familiarity with College of Humanities and Sciences undergraduate programs and curricula
Act as a liaison between students and departments
Advise current, transfer, returning and prospective students on academic program planning in person, by e-mail, by zoom, and by phone
Advise students on academic standards, major selection and requirements, General Education requirements, academic policies and procedures
Train and coach students in use of academic resources, including the University Catalog, Banner, Cyberbear, DegreeWorks and Navigate
Utilize various student information systems to assess student progress and record contacts
Conduct core course registration for incoming first-year students
Assist students with academic appeals, withdrawal, drop and add petitions, reinstatement plans, degree plans and graduation applications
Connect students to academic and career success experiences and opportunities including student clubs, internships, undergraduate research, study abroad and conferences
Make effective referrals to and collaborate with career success experts
Assist with Departmental and College of Humanities and Sciences recruitment and retention efforts; meeting with prospective students and parents at UM Days, transfer student events, and other College of Humanities and Sciences events
Assist with developing and maintaining advising materials and workshops including webpages
May provide guidance and direction on academic catalog updates, departmental meetings during new student orientations and undergraduate course scheduling
May serve as project management lead on at least one area in the advising center and contribute to the smooth running of our college advising center
Required Skills
A strong understanding of higher education
Have experience with advising software
Excellent interpersonal and crisis management skills, positive attitude, ability to work independently or as part of a team, to remain calm and professional in all situations, and to work independently, efficiently, and accurately in stressful situations with frequent interruptions
Excellent oral and written communication skills, including ability to write and present information and reports
Advanced knowledge of office management techniques, administrative practices and procedures, business terminology, and Business English
Ability to organize, balance, prioritize and manage multiple and complex tasks efficiently and effectively in a fast-paced environment with many distractions while remaining calm and productive
Demonstrated problem solving skills

Ability to follow timelines and meet deadlines
Ability to analyze data and prepare reports related to advising, student enrollment and curricular issues
Minimum Required Experience
Bachelor’s degree and three (3) years of advising experience or an equivalent combination of education and experience
Preferred Qualifications
Master’s degree
Knowledge of University-level advising policies and procedures
Knowledge of University-level scholarship procedures
Knowledge of the College of Humanities and Sciences
Advising experience at the University of Montana
Knowledge of University advising and scholarship software such as Banner, InfoGriz, Cyberbear, Degree Works, DocuSign, and Navigate
