The University Parish Secretary is responsible for assisting the Director and Associate Director of Campus Ministry in responding to and fulfilling all the pastoral and ministerial needs of the students of the university and individuals both in the broader university community and beyond. This individual ensures the smooth functioning of the university parish each day by: scheduling, monitoring, and recording all sacramental events and liturgies (including, but not limited to: weddings, baptisms, funerals, and memorial Masses), ensuring that all records are kept in accord with both civil and canon law and with the policies of the Archdiocese of Newark, managing four budgets and endowments, recording and depositing donations, responding to all communications pertaining to the university parish, supervising work-studies, performing clerical duties, and being committed to the Catholic mission and identity of **MEMBERS ONLY**SIGN UP NOW***..
Duties and Responsibilities:
1. Assists the Director and Associate Director of Campus Ministry in all essential duties in responding to any and all pastoral needs in serving the students of the university and other individuals in the broader university community. Responds to all communications with all matters pertaining to the university parish.
2. Serves as event coordinator for all Weddings, Baptisms, Funerals, Memorial Masses, and other special Masses/Liturgies celebrated both in the university chapels and other gathering/event spaces on campus. Collaborates/communicates with other university departments in maintaining the upkeep of the university chapels and planning/executing Masses, liturgies, and other events. Assists individuals with booking Mass intentions for all daily and Sunday Masses.
3. Records and maintains all sacramental records for all sacraments celebrated on-campus in accord with canon law and the procedures/policies of the Archdiocese of Newark. Ensures that all paperwork (both civil and canonical) for marriages contracted at **MEMBERS ONLY**SIGN UP NOW***. is completed and filed properly in accord with both canon and civil law.
4. Serves as budget manager for four university accounts and five endowments accounts. Records and properly deposits any and all incoming donations.
5. Assists with all essential duties for the University Chaplain, Community of St. John, and FOCUS and SPO Missionaries. Supervises student work-studies. Performs various clerical duties (i.e., typing, filing, copying, etc.), as needed and at the discretion of the Director and/or Associate Director of Campus Ministry.
Required Qualifications:
1. High School Diploma or GED
2. 1-3 Years Relevant Work Experience
3. Standard secretarial skills (computer use, typing, and note-taking, etc.).
3. Knowledge of and experience working with the Microsoft Office Suite.
4. Strong written and oral communication skills.
Desired Qualifications:
1. Experience working in a Catholic parish, school, or other Catholic-affiliated institution or setting.
2. Familiarity with the basic tenets of the Catholic faith, specifically matters pertaining to liturgy, sacraments, and Church law.
