Faculty Senate
invites applications for a
Program Manager
to oversee the administration of faculty governance activities at **MEMBERS ONLY**SIGN UP NOW***.. The Program Manager supports institutional consistency and communication across the standing committees of the Faculty Senate, UM faculty, administrators, staff and students. This position also works with the Academic Policy Manager to maintain continuity between UM and Montana University System (MUS) Office of the Commissioner of Higher Education. The Program Manager reports to the Chair of Faculty Senate and the Registrar. The role requires exceptional organizational, interpersonal, and communication skills. The Faculty Senate Program Manager must maintain professionalism and work effectively with the leadership of the Faculty Senate and its standing committees. The Faculty Senate Program Manager coordinates committee meetings and serves as principal advisor to chair of each committee. This position is the primary source of continuity for the functions of the Faculty Senate.
Duties and Responsibilities include:
Management of the processes of the Faculty Senate
Develop meeting agendas and annual committee reports in concert with faculty senate leadership; manage communications to senators, committee members, and the administration as appropriate.
Negotiate and manage the needs of individuals or groups requesting time with the Faculty Senate or one of its standing committees.
Proactively identify materials required to prepare for upcoming meetings for the various Faculty Senate committee chairs, including from the Faculty Senate archived files, to ensure the chairs are adequately prepared for the meetings.
Provide administrative and professional support to the Faculty Senate Chair and the chairs and members of various committees under the Faculty Senate.
Develop strategic planning documents, procedures, and calendars for the Faculty Senate and its standing and ad hoc committees (Executive Committee of the Senate, Academic Standards Curriculum Review Committee, Graduate Council, General Education Committee, University Library Committee, Writing Committee, and ad hoc committees).
Serve as curriculum liaison to the Vice Provost for Academic Affairs and the Registrar.
Support the Vice Provost for Academic Affairs and the Academic Policy Manager in reviewing curriculum proposals, new course proposals, and program modifications, to ensure compliance with UM and BOR policies, and serving as the link between the Provost’s Office and the Faculty Senate’s standing committees.
Ongoing project management of operations and processes of the Curriculum Management System (CMS)
Design, create, and modify (as needed) curriculum and program submission forms and approval workflows in **MEMBERS ONLY**SIGN UP NOW***.’s CMS.
Report and follow-up on system ‘bugs” with appropriate system administrators.
Acts as liaison with the curriculum management software and various University of Montana users.
Create training materials and provide demonstrations of curriculum management software to UM staff and faculty as needed.
Communication and Coordination
Act as point of contact for faculty, staff, students and administrators regarding functions of the Faculty Senate and related issues.
Maintain minutes of all Faculty Senate and standing committee meetings.
Maintain and have detailed knowledge of Faculty Senate files, filing system, and archived materials.
Coordinate and manage the Faculty Senate curriculum, program, and center/institute review process, the Faculty Senate’s annual evaluation of the administration, Faculty Senate elections, and committee and service award nominations.
Design and maintain the Faculty Senate web site, including keeping all committee assignments current, update and post meetings schedules, agendas, and meeting minutes.
Office Administration
Conduct consistent and meticulous analysis of operating practices, including the establishment, revision and implementation of administrative policies, procedures, filing systems and reference manuals.
Make travel arrangements and schedule meetings for the Chair and Chair-elect.
Manage the office budget; monitor and reconcile office expenses; process travel reimbursement and company credit card charges.
Maintain and order office supplies, computers, and accessories.
Coordinate and organize logistics for the Faculty Senate’s annual retreat and events.
Hire and train student employee and staff members assigned to provide back-up committee support.

Ability to multi-task and set priorities to meet deadlines.
Excellent financial planning and budgeting skills.
Ability to develop and implement procedures and practices to enhance efficiency.
Minimum Required Experience
High school diploma and four (4) years professional experience within a complex work environment.
Preferred Qualifications
Bachelor’s Degree in Communication, Business or related field.
Experience working in a higher education setting.

The Faculty Senate is at the center of faculty participation in the shared governance of the University. The Senate reviews, debates, and votes on issues pertaining to the academic welfare of **MEMBERS ONLY**SIGN UP NOW***. in consultation and cooperation with the President and his/her administration. The President and the Vice Presidents are advisory / ex-officio to the Faculty Senate. It reviews and approves curriculum changes including general education requirements, new courses, majors, minors, certificates, or options, program modifications and program moves; honorary and post-humus degrees subject to Board of Regents regulations; and academic policies.
Various standing committees of the Senate review academic matters in detail and make recommendations to the Senate. The Faculty Senate Articles and Bylaws determine the representation of the Senate and committee structure. Administration of the Faculty Senate’s Office Budget falls under the Provost’s Office. The Registrar has an advisory/ ex-officio relationship to the Faculty Senate and its standing committees. The Vice Provost is advisory/ ex-officio member of Academic Standards and Curriculum Review Committee (ASCRC), the General Education and Writing Committees, as well as Graduate Council. The Vice President of Research and Creative Scholarship is advisory/ ex-officio to Graduate Council and the Dean of the Library is advisory / ex-officio to the University Library Committee.
