This is an exempt, 52-weeks per year position. Working hours are generally Monday - Friday from 8:00 a.m. - 4:30 p.m. This posting may be used to fill similar vacancies that occur within six months of the closing date. Madison College offers a generous benefits package.
Summary:
Under the supervision of the Campus Services Manager, Print and Mail Services endeavors to offer the highest possible quality of customer service, design, print, and production capabilities, as well as highly accurate and efficient mail services in service of the College's mission. The Print and Mail Services Supervisor provides leadership and first-line supervision of all phases of operations of the College's centralized print and mail services, including scheduling and training employees, scheduling and assigning print production work, communicating with customers regarding their print production needs, and bulk mail needs, implementing appropriate quality control standards, and coordinating printing and mailing services. The Supervisor works in printing and mailing services, utilizing equipment, completing mail and print jobs, covering for staff vacancies, and coordinating process improvements to unite and align the operations for best service to customers.
The Print and Mail Supervisor will work at Madison College's Truax Campus but will be responsible for traveling to other district campuses as needed. This position is responsible for ensuring accurate, cost-effective, and expeditious mail processing while honoring confidentiality for customers.
Duties/Responsibilities:
Supervise and oversee the graphic design, printing, and mailroom services of the College, including personnel, training, evaluation of work, safety, scheduling, and assigning work. Plan work schedules for print and mailroom staff and oversee a wide variety of activities with minimal direction or supervision.
Provide excellent customer service and maintain liaison with all print shop and mailroom customers to assure needs are met and resolve customer concerns.
Work with the Campus Services Manager to prepare the annual budget for print shop and mailroom and lead other financial and inventory processes. Review and maintain accurate pricing structures in collaboration with the Campus Services Manager. Assist in forecasting revenue. Prepare billing for print and mail services and maintain records; maintain up-to-date and accurate balance statements of print and mail monthly billing and all associated accounts. Maintain accurate inventory records and necessary inventory to support operational needs.
Order supplies and equipment from vendors, stores, and contractors; check and approve all invoices; write specifications for desired equipment.
Operate equipment, including high-speed printing equipment, including color and black-and-white production units, wide format printer and vinyl cutter/plotter; mail processing equipment; collate and bind printed materials. Design formats for printing projects; compose layouts and related graphic arts work; use desktop publishing to assist in design work. Perform and oversee routine maintenance on print and mailroom equipment, as needed.
Develop, follow, maintain, and continuously improve standard operating procedures to ensure efficient and effective service.
Maintain a high standard of professionalism in representing the College, including confidentiality in all aspects of the position's responsibilities and adherence to policies, procedures, and other established guidelines as appropriate. Adhere to professional accountability and accept responsibility for managing situations and problems. Work cooperatively with team members and colleagues, contributing positively and constructively to the achievement of team and College objectives and provide a high level of service to customers by establishing and maintaining effective working relationships and partnerships. Stay current with training pertaining to the print and mail job management system(s) at Print and Mail Services.
Attend regularly scheduled staff meetings, committee assignments, and staff development opportunities, and professionally represent Print and Mail Services.
Maintaining collaborative relationships and participating in cross-training with other departments, including Central Receiving, as necessary.

Proven ability for attention to detail, multi-tasking, problem-solving, and prioritizing jobs.
Proficiency in working with computer applications and information systems, including Microsoft Excel, print/mail processing systems, and digital print equipment.
Minimum Qualifications:
Associate's degree from an accredited institution OR two (2) years (4,000 hours) of directly related work experience.
*Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.
Five (5) years (10,000 hours) of directly work-related.
Driver's license and ability to drive on behalf of the College.
