ORGANIZATIONAL SUMMARY:
The Office of the Registrar leads a hub of critical services for students, faculty and staff, including student and academic record keeping, a conflict free academic schedule, registration, graduation, data reporting and state and federal compliance to support the university's educational programs.
POSITION SUMMARY:
The Enrollment Management Assistant is responsible for updating office content on the web or direct messaging to students and the Public. This position also assists students and academic department personnel by providing timely and accurate answers to requests received through a variety of modes. This position serves as a frontline resource, supplying and interpreting University Regulation and Policies and Procedures as well as URO services.
RESPONSIBILITIES:
Processes transcript requests on-demand for students and investigators, mailed and online orders, embossing University seal and affixing authorized signatures in keeping with University protocol. This duty includes but is not limited to: releasing notarized copies, resolving issues with orders, researching student records, processing checks through the USF Cashier's Office, monitoring status of pending requests for release or return, and generating letters and emails about order status or returns. Logs requests in student information system (Ellucian Banner) to comply with State and Federal requirements. Explains USF policy and University's online ordering platform (Credential Solutions) to requestors.
Answers phones, several general email boxes, and provides back up support for the front desk. As a first point of contact, this includes greeting customers, fielding inquiries, and performing clerical duties. Provides quality customer service by independently clarifying problems, determining appropriate action required to resolve issue, using available technology, and resolving any issues in purview. Researches and enters appropriate information into Ellucian Banner, releases transcripts and other pick-up requests.
Responds to and processes routine requests for enrollment certification. Assists students and other entities with enrollment inquires in person and on the phone. Issues enrollment and degree certifications generated through Ellucian Banner to students on demand, embossing University Seal and affixing authorized signatures in keeping with office protocol. Processes canceled course enrollments and changes to enrollment status through received from various sources.
Main processor for Late Registration Fee Waivers, SOCAT and Victim Advocacy Fee Adjustments. Assists with processes related to general student Fee Adjustment and Repeat Course Surcharge Requests, including scanning request forms into document imaging system (BDM), processing adjustment updates in Ellucian Banner, communicating committee decisions to students and other entities.
Organizes and processes applications for non-degree students and transient student applications through Florida Shines; processes application fees as needed. Performs data entry for auto audit reports requiring data clean up. Retains documents to comply with State and Federal requirements. Ensures documentation is scanned to BDM in keeping with URO's records retention schedule procedures.
Upholds the Family Educational Rights in Privacy Act (FERPA) in the execution of all duties.
Provides back-up support for Holds, Permitting and Registration process training in Ellucian Banner. Contributes to actively updating URO Wiki to ensure office procedure instructions remain updated and accessible to all URO personnel. Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with one year of experience in office, administrative, or academic/student services support positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
PREFERRED:
Knowledge of Ellucian Banner, including BDM document management; academic policies and procedures and Financial Aid processes. Professional experience in an institution of higher education is preferred.
SPECIAL SKILLS/TRAINING:
Outstanding technology skills are necessary. Self-motivated, dependable, experienced handling multiple projects in a high volume, customer service oriented academic institution where priorities quickly change. Demonstrated confidence and competence in relaying decisions to students, parents, staff members, faculty, and administrators.
