Global Engagement Office
invites applications for a
Global Engagement Office Manager and English Learning Institute Program Assistant
to join their team. The person assigned to this position is responsible for tasks in the Global Engagement Office and the English Language Institute, and will be responsible for interviewing, hiring, and supervision of student workers serving as front desk staff. Limited evening or weekend work may be required for special events.
Global Engagement
Report to the Senior International Officer & Executive Director of the Global Engagement Office
Oversee the operations and administrative support for the Global Engagement Office
Manage a wide range of complex administrative tasks, oversee daily office functions, and provide routine frontline contact with internal and external constituents
Assist in the development and implementation of programs and services that enhance the mission and goals of GEO
Draft internal and external correspondence, press releases, and marketing materials for GEO and its units
Develop and maintain GEO website
Coordinate departmental events which may require scheduling rooms, technology, catering, and collaboration with other University departments or offices
Prepare reports by collecting and analyzing data and other pertinent information
Attend and take minutes for regular GEO, International Council and other meetings as requested
Manage GeoBlue insurance issuance and billing
Manage transcription process for SRAS
Maintain confidentiality in the activities and matters of the SIO
Other duties as assigned by the SIO
English Language Institute
Assist with budget and administrative tasks, particularly for grants administration
Assist in writing grant applications and supporting materials that fund special language programs
Prepare enrollment reports and identify trends by comparing statistical reports from the previous quarter and the previous year
Update student records based on English language test scores
Assist in the creation and facilitation of workshops and information sessions at ELI orientation events
Handle logistical arrangements for the department by organizing meetings
Identify classroom needs and makes classroom reservations for each semester
Secure classrooms, computer labs, and other venues for exams, registration sessions, and events each semester
Prepare final certificates for each ELI student
Update all English Language Institute policies and procedures and ensures changes are reflected accurately
Update and maintain ELI website
Answer questions appropriately by telephone, walk-in, and email inquiries
Assist with special projects for the office as assigned
Upon completion of training, the incumbent will have developed working knowledge and ability in the following:
Ability to learn Banner for data viewing, collection, and entry
Ability to learn Submittable to track ELI applications
Ability to learn and use Moodle system for maintaining ELI student records
Successful completion of UM PI grants training
Basic supervisory skills for working with student employees and interns
Knowledge of current FERPA regulation and confidentiality requirements
Knowledge of University of Montana policies, procedures, practices, and resources
Knowledge of department and the duties performed by others in the unit
Knowledge of applicable federal and state regulations
Required Skills
Effective public relations, interpersonal, and communication skills, including the ability to work with diverse groups of individuals and provide positive professional customer service
Demonstrated basic knowledge of social media sites (Facebook, Instagram, etc.)
Ability to work effectively in a team environment
Ability to independently handle multiple work priorities and projects
Ability to handle conflicts and difficult situations in a timely and professional manner
Ability to problem solve and make sound decisions using good judgement, tact, and sensitivity and with proper treatment of confidential and sensitive information
Attention to detail and organizational skills
Demonstrated skills using MSOffice products, including Word and Excel, and ability to learn and operate new software systems
Demonstrated skill in business English, spelling, grammar, composition, proofreading and ability to create, compose, and edit complex materials
Demonstrated skill in gathering, analyzing, and interpreting statistical data
Ability to obtain and maintain a valid driver’s license in order to drive Enterprise vehicles for guest visits
Minimum Required Experience
High School diploma and two (2) years of experience or an equivalent combination of education and experience.
Preferred Qualifications
Bachelor’s degree
Experience/Interest in working with international students
Experience in supporting grants
