The Fund Disbursement Coordinator is responsible for serving the University's student population by delivering accurate and timely disbursement of Federal Pell Grants, Federal Direct Loans, State Grants, Private Education Loans and other refundable credit balances. The coordinator must be able to maintain a high level of compliance and adhere to Title IV cash management regulations. The individual will address and resolve student concerns through email, text and phone calls. Other key aspects of this role include supporting a strong student centric culture, working well with University constituents and having a passion for continuous learning.
Essential Job Functions:
Manage the oversight of financial aid disbursement processes including direct deposit, credit card and check refunds
Facilitate outbound communication via telephone, email and text to investigate the status of uncashed, lost or stale dated checks
Lead ongoing reconciliation and monitoring efforts of outstanding checks with the Office of Accounts Payable and Office of Finance and Accounting
Willingness to learn new skills including working with the Office of Financial Aid to assist students with their educational expenses
Possess good decision-making skills and assist team members when necessary.
Participate and collaborate with Office of Financial Aid to deliver a high level of service to students impacted by withdrawals and course drops
Collaborate with the Office of Finance and Accounting to report and provide accurate, timely analysis of disbursement and daily reconciliation
Organize and record check and cash deposits consisting of donor gifts, student accounts, institutional funds and restricted funds
Electronically process bank deposits and post the transactional data into Workday
Other Job Functions:
Provide detailed financial information to students, parents and UC staff; especially pertaining to inquires from student billing procedures or financial aid adjustments including Return to Title IV (R2T4)
Assist with new student orientation to provide students and parents with financial information
Willingness to travel and attend conferences to expand knowledge and best practices
Self-starter with positive outlook and an interest in the success of the Office of Student Accounts
Ability to compose correspondence in a professional and tactful manner
May be assigned other duties at the discretion of the Director of Student Accounts
Minimum Qualifications:
High School Diploma required, B.A. or B.S. preferred
General accounting experience with problem solving and analytical expertise
Demonstrated excellence in verbal and written communication skills, attention to detail and ability to maintain a high level of confidentiality with regard to sensitive information
Ability to analyze and resolve student concerns with good judgment.
Exhibit and participate in a collaborative student-focused environment where teamwork and compassion are highly valued
Experience in Microsoft Word and Excel and willingness to learn University software products
