School of Journalism
invites applications for a
Program Coordinator II
to join their team on campus. This position serves as the primary liaison for the School of Journalism (SOJ), representing the School in a wide variety of local, state, regional, and national venues; plays a key leadership role in SOJ College-level projects and programs; and is the lead for all School communications. This work involves solely performing all administrative operations of the School, collaborating with other UM departments/schools/colleges, and determining which information to disseminate to the public or other programs.
This position collaborates with Journalism faculty/staff, UM Foundation, and UM Financial Aid Office in annual scholarship-management cycle, ensuring students are aware of accurate application procedures, awarded students are notified promptly and correctly, awarded students’ thank-you letters are submitted, and awarded students’ funds are accurately distributed. Additionally, the SOJ Program Coordinator is responsible for all event planning and coordination, including but not limited to, Pollner annual lecture, Homecoming events, faculty retreats, annual job and internship fair, annual Journalism High School Day, Dean Stone annual lecture and awards banquet, graduation ceremonies, and various miscellaneous events throughout the year.
This person is also responsible for the financial components of the Journalism School, including: maintaining procard files; assisting in payroll entry for Journalism and CAM; assisting in check requests and deposits; primarily responsible for financial management of Montana Journalism Study Abroad trips; assisting in putting together financial paperwork (hiring forms, TA contracts, etc.); maintaining basic knowledge of UM fiscal procedures (especially scholarships, ProCard, student payroll, and procurement); and for coordinating student and faculty travel (RAT and TER completions).
The position requires incumbent to develop knowledge of Banner, UMDW, infogriz, and other University adopted programs; familiarity with UM faculty/staff personnel procedures; deep understanding of UM curricular, advising, and administrative procedures.
Required Skills
Demonstrated skill and ability with marketing and promotional concepts, including social media
Able to file and organize student records for advising and other tracking purposes
Ability to work on projects independently
Ability to maintain strict confidentiality
Demonstrate excellent teamwork and flexibility
Knowledge of University processes, forms and policies across campus
Excellent oral and written communication and organizational skills
Familiarity with personal computers, related word processing and spreadsheet software (MS Office Suite), internet and email
Ability to use standard office equipment: computers, copiers, and multi-line phone system
Basic knowledge of standard office practices and procedures; excellent business English, spelling, grammar, composition, with the ability to compose, proofread and edit materials with a high degree of accuracy
Demonstrated public relations, interpersonal and communication skills, including the ability to develop and maintain a working relationship with diverse groups
Minimum Required Experience
High School diploma and four (4) years of relevant work experience or an equivalent combination of education and experience
