Person Specification – Assistant PA
The Assistant PA element of the role will report directly to the Executive Assistant to provide a high level of pro-active, efficient and professional administrative support and will deputise for the EA in her absence.
The wide range of activities associated with the Assistant PA role will all require high standards of accuracy, timeliness and presentation. When deputising for the EA, the post holder will be expected to work on their own initiative, handling highly sensitive and confidential issues, with both diplomacy and minimal guidance. Complete confidentiality is of paramount importance and is expected and required in this role.
Essential Criteria
• Excellent proven ability to use Microsoft Office applications and video conferencing tools
• Proven administration experience
• Excellent verbal, written and communication skills
• Methodical and consistent approach to tasks, with a willingness to own and complete them
• Ability to deal with changing schedules and priorities
Desirable Criteria
• Prior experience of working for an Executive team remotely
Accountabilities
The post holder will:
• Deputise for the EA (in the case of holidays, sickness)
• Diary management for the CEO and the Executive Management Group
• Travel arrangements and itineraries – UK and International
• Arrange online and in person meetings, including room bookings and catering
• Complete expense claims and manage receipts
• Minute-taking at committees and summarising actions
• Other ad-hoc administrative duties
Person Specification – EDI Co-ordinator
The EDI Co-ordinator element of the role will report directly to the Group Head of Access and Participation.
Accountabilities
The post holder will:
• Provide data reports for the Access and Participation Plan and Office for Students returns as the Head of AP and/or Head of RRA requires for reporting purposes
• Sourcing and manipulating data from College systems and external sources e.g. Office for Students and Department for Education
• Develop and manage a suit of reports analysing various stages in the student journey, including (but not limited to) student recruitment, engagement, progression, retention and course completion
• To work alongside the Head of AP and/or Head of BIRR to analyse any trends in data and to produce technical reports on outreach participants as and when required
Additional duties include:
• Sharing information between the EDIC (Equity, Diversity and Inclusion Committee) and the College Action Groups
• Work with colleges to ensure EDI Action groups are set up, effective and are working in line with the ten-point plan
• Coordinate the information network of College EDI Action Groups
• Collaborate with external partners ensuring the EDI strategy is on track
• EDI updates to committees including HELTEC/FELTEC
• Work with Marketing to update comms both internally and externally on EDIC matters
