Functions as a member of the Clinic Operations team working closely with the Information Technology Department.  This individual will provide direction and leadership in (1) strategic project planning for electronic health record implementation and maintenance, including development of templates and disease protocols / pathways, (2) process improvement in workflows within the clinics, including efficient redesign of patient flow, document management, (3) training of physicians and all staff members on all aspects of EHR (4) development and maintenance of a data repository for use in reporting quality statistics to CHI / regulatory agencies / carriers; (5) facilitates team building and education and organizes the approach to be used; and (6) proficient in oral and presentations and written proposals to a variety of audiences; and (7)  Coordinates hardware and security issues with Information Technology
 
ESSENTIAL FUNCTIONS:
 


Strategic project planning for electronic health record implementation and maintenance, including development of templates and disease protocols / pathways.
 


Works with VP – Clinic Operations and with physicians to determine timelines, implementation plans, and strategic initiatives related to preparation for transition to E H R and preemptive activities.

Develops implementation plans which address data conversion, final testing, end user support, milestones for vendor integration, and phase-out of legacy systems. 

Manages the electronic databases for Electronic Health Record, clinical data repository, and other enterprise databases.

May manage clinic specific databases.

Maintains the data dictionary for the enterprise and each application.

Monitors regulatory and standards changes that impact data definitions used internally and in the exchange of data with external organizations.

Maintains database integrity.

Designs and maintains management reports for clinical and administrative staff.

Supports staff in the design of data collection, storage, and use.

Meetings with users to gather reporting requirements, analyzes the requirements, and formulates a plan to develop the data and report procedures to satisfy the requirements.

Provides training on report writing and use for new report users, ensuring that all users are aware of and trained on the use of reports.

Develops templates which are provider-specific / disease-specific in coordination with providers to minimize transcription expense.

Actively participates in all budgeting related to E H R, including hardware needs.
 

Process improvement in workflows within the clinics, including efficient redesign of patient flow, document management.
 


Organizes work and achieves goals and objectives of improving efficiency in the clinics, specifically related to patient cycle time.

Analyzes and interprets data clearly and simply, verbally and in writing to stakeholders.

Determines appropriate data to convert from paper system, including scanning capabilities, fax server integration, and voice recognition software utilization.

Identifies and secures buy-in for work flow opportunities such as physician in-box messaging, prescription refill request processing, lab results reporting, orders, documentation compliance with E&M regulations, and disease management of patients with chronic conditions.
 

Training of physicians and all staff members on all aspects of EHR.
 


Develops specific training plans and benchmarks for providers and staff members, including HIPAA transactions and code set standards, procedures, diagnosis, and billing code sets. 

Maintains a log of all training sessions, attendees, concerns, and content.

Demonstrates an interactive knowledge of billing and collection rules, as well as CPT coding.
 


Development and maintenance of a data repository for use in reporting quality statistics to regulatory agencies / carriers.
 


Maintains drug formularies, drug reference information, patient education materials, etc.

Manages data communications related to e-prescribing with vendor and with IT.

Remains proficient in report writing using the host software report writer.
 

Facilitates team building and education and organizes the approach to be used.
 


Prepares all written and presentation material for training, including team building exercises to anticipate challenges in implementation, to design effective training mechanisms which are task-specific, and to clearly delineate training schedules and expectations.

Develops implementation templates which detail step-by-step requirements for modular implementation of E H R components.
 

Proficient in oral and presentations and written proposals to a variety of audiences.
 


Exhibits comfort level in product demonstrations, being familiar with all features of the product and how those features interface with workflow.

Demonstrates proficiency in using PowerPoint and in preparing clear written instructions on workflows.
 


Coordinates all hardware and security issues with Information Technology.


Works with IT to determine infrastructure (wired, wireless, network upgrades, and testing)

Coordinates with IT hardware delivery, installation, and testing of end-user devices, printers, etc.

Coordinates interface needs with IT and appropriate vendors to insure accurate data flow between systems.','!*!MINIMUM QUALIFICATIONS:
 
Education: B.A. in Business Administration, Information Technology, or Health Administration or equivalent physician practice experience. 
 
Experience: Ten years health care experience in a management role in a physician clinic, with at least two years of specific experience in an electronic health record environment.
 
Physical Requirements: Speaking, hearing, seeing, and walking, ability to lift and carry 11-24 pounds, exposure to inside environmental work conditions.
 
Skills: Public speaking skills; ability to communicate effectively in verbal and / or written presentations with individuals from administrative to staff level; ability to write complex documents; ability to understand data and statistical analysis of information; ability to apply statistics to clinical settings.','We’re an equal opportunity employer.
