Provide high level administrative support for the Office of Student Engagement and its associated offices including the Assistant Vice President for Student Services, (1) Senior Director for Student Activities and (4) Assistant Directors (New Student Programs, Student Activities, Clubs & Organizations, and Fraternity and Sorority Life). This position will also support the Assistant Director of Scheduling and Events with oversight of billing internal and external clients for events. Keeping diligent records of daily building operations, training manuals, training videos and other organizational tools. This position also serves as the secondary Scheduler of event spaces in Bethany Hall and the University Center as well as coordinate as primary liaison for needs and usage of facility between campus users, external guests/clients, for aforementioned event spaces. This position provides integral oversight of administrative practices for the office while assisting with large-scale event planning for events including New Student Orientation, the annual IMPACT (student leadership) Conference, Leadership Awards, and other Student Engagement signature events. The position also provides supplemental secretarial support for the Dean of Students Office and the Vice President for Student Services Office.
Duties and Responsibilities:
1.Manage logistics and provide administrative support to the distinct administrative functions comprising the Office of Student Engagement and Business Affairs. This includes answering phones, managing mail/packages for full-time administrative staff members in OSE and BA. Provides supplemental secretarial support as needed for the Dean of Students and Vice President of Student Services offices.
2.Oversee billing internal and external clients for events. Keeping diligent records of daily building operations, training manuals, training videos and other organizational tools. Serve as secondary Scheduler of event spaces in Bethany Hall and the University Center. Coordinate as primary liaison for needs and usage of facility between campus users, external guests/clients, and additional support for aforementioned event spaces. Input work orders and manage work order follow-up for University Center and Bethany Hall.
3.Assist Assistant Director for Scheduling and Events to coordinate and manage requests for digital announcements/sign usage for internal and external use. Support oversight of student workers and student lounge area to include inspection, utilization records, equipment procurement, etc
4.OSE Event Management Support- Includes: coordinate meetings, conferences, large-scale events (Student Leadership Conference, Involvement Fair, Leadership Awards, Leadership Retreat, Student Government Association Installation and Induction, SGA SOAC Process, large-scale student organization events, etc) to include room reservations, purchases, food orders, logistics, and any outside vendor needs
Required Qualifications:
High School Diploma or GED, Vocational or technical training - field of study: Office Administration
1-3 years of related experience
