General Description of Position:
The Assistant Registrar supports the regional Bloomington Registrar in
areas related to organizing and directing campus clerical and functional operations within the Office of the Registrar (i.e. graduation processing, maintenance of academic records related to enrollment, registration, reporting, and student and faculty relations). The Assistant Registrar provides critical support to students, faculty, staff, and addresses questions or concerns with a solution-based approach. The Assistant Registrar is expected to handle multiple responsibilities and aid the Registrar in complex problem solving and strategy.
Major Responsibilities:
1. Assists with the technical aspects of registration, e.g., understanding of enrollment controls, prerequisite screening, repeat rules.
2. Assists with the management of the functional and technical aspects of degree certification.
3. Responds to calls and walk-in inquiries from students, faculty and staff concerning college policies and procedures relating to records, registration, scheduling, and other college matters. Assists in processing student registrations, add/drop requests, and withdrawals.
4. Provides support for faculty using automated services for student records. Ensures academic records and grade reports are complete and accurate.
5. Coordinates with the Registrar on the creation, maintenance, and scheduling of messaging to students from the regional Office of the Registrar.
6. Assists with the development of in-house forms and documents.
7. Attends meetings, conferences, and workshops in the Registrar’s absence and to maintain up-to-date knowledge related to registration, student records, prior learning, etc.; serves on campus committees.
8. Assists with supervision of support staff within the Office of the Registrar.
9. Conducts all activities within the established guidelines of the Family Educational Rights and Privacy Act (FERPA). Communicate in a timely and professional manner with all internal and external points of contact. Conveys
and applies FERPA laws in the administration of records.
10. Helps develop and deliver training on policies and procedures related to the functions of the Office of the Registrar. Develops and maintains interdepartmental relationships across campus.
11. Participates in community service, service learning, and civic engagement projects and activities as deemed appropriate by the Chancellor.

Minimum Qualifications:
An associate degree or industry related certification along with 3-5 years' of progressively more responsible experience, or combination of education and experience commensurate with the requirements of this position. Demonstrated experience in managing multiple projects. Excellent attention to detail and proofing skills. Proven skills in identifying issues, developing creative solutions and options, and following through with implementing resolutions. Ability to communicate effectively in an education setting.

Work Hours:
Monday-Friday 8am-5pm or Monday-Thursday 9am-6pm & Friday 8am-5pm. Evening or weekends may be required during peak times, enrollment events, and commencement.
