invites applications for a Program Coordinator I to join their team. The UMPT Clinic Program Coordinator provides overall administrative support for **MEMBERS ONLY**SIGN UP NOW***. NSE UMPT Clinic as well as the New Directions Wellness Center, including support for the Clinic Director, Clinic Billing Manager, Clinic Billing Assistant, Clinical Faculty Instructors, Orthopedic Resident and intermittent physical therapy staff. This individual serves as the UMPT Clinic Manager and is the “go to” for students and faculty from the UMPT School for coordination of programs, as well as equipment requests. The Program Coordinator is responsible for maintaining a professional and supportive environment for students, faculty, staff and patients. The UMPT Clinic Program Coordinator handles all payments collected in person, makes deposits and works with Banner to insure compliance with UM policies. As part of this role, the incumbent will:
Perform front office reception duties
Perform provider and patient scheduling
Provide coordination and oversight of social media postings performed by physical therapy students
Provide training and mentoring to the UMPT Clinic Billing Assistant in insurance verification tasks
Maintain and update office flies and electronic medical records
Hire and supervise student employees and volunteer workers
Coordinate collection of patient fees and payments
Manage clinic inventory and coordinate ordering of supplies
Maintain records for programs related to UMPT Clinic patient care
Assist with program development and grant related projects
Provide all clinical faculty and therapists with administrative support and assist with case management
Serve as a liaison and coordinate existing programs involving the UMPT Clinic, New Directions wellness Center, the School of Physical Therapy and the College of Health
This position will manage and supervise student workers and volunteers within the UMPT Clinic. They will coordinate the necessary training (HIPAA and blood borne pathogen) of new student workers to insure compliance with HIPAA regulations related to patient interactions. The Program Coordinator will provide oversight and coordination of the weekly work schedule for student workers participating in front office duties including scheduling of new and existing patients along with processing paperwork. This position will provide coordination and supervision of physical therapy students responsible for creating social media content for marketing purposes for UMPT Clinic. The Program Coordinator will manage the Billing Assistant in duties related to UMPT Clinic front desk coverage and insurance verification processes.
Upon completion of training, the incumbent will have working knowledge and ability in:
WebPT for management of confidential patient information and patient scheduling
Make financial deposits via Banner
Skill in providing ongoing feedback, training and orientation to student workers and the Billing Assistant in regards to use of WebPT and professional communication with future and current clients of UMPT Clinic
Cross-trained to provide assistance to UMPT Clinic Billing and Patient Accounts Manager as well as UMPT School financial staff
Required Skills
Ability to operate personal computers, related word processing, spreadsheet and database software
Demonstrate knowledge of office reception, patient scheduling, medical record management
Demonstrate organizational skills and ability to manage multiple tasks in a busy environment
Use of correct English, spelling, composition and grammar
Effective time management and organizational skills with the ability to complete tasks while paying attention to details
Ability to be fully compliant with HIPAA practice standards, follow rules and regulations regarding management of medical records and patient information
Effective communication skills with the ability to maintain effective working relationships
Ability to coordinate student worker activities while following established timelines for completion of tasks
Ability to make sound decisions and remain calm and professional at all times
Commitment to diversity and the inclusion of different perspectives
Able to perform light housekeeping duties to insure all areas in the clinic are organized, clean and safe
Minimum Required Experience
High school diploma and two (2) years related work experience, or an equivalent combination of education and experience.
Preferred Qualifications
Experience working in a medical front office utilizing current EMR software
Prior experience and knowledge of some UM specific systems, policies and procedures
Prior experience of coordination and management of individuals working on established projects
