Provide support to the Board Affairs & University Strategy, specifically supporting the Board of Regents, the Board of Trustees, and the development/implementation of the University's Strategic Plan. Organize, prepare and coordinate Board materials and activities. Organize, prepare, and coordinate materials and activities that advance the University's strategic plan development and implementation. Maintain confidentiality of Board Affairs, Vice President and University's activities. Work independently; identify needs, develop solutions and monitor results. Work collaboratively with other staff, including the President and all members of the Executive Cabinet while maintaining the highest level of confidentiality.
Duties and Responsibilities:
1. Manage Vice President's appointments and calendar; prepare materials in advance of all activities; draft documents, memos, reports, letters, agendas etc.; assure discreet handling of all business and maintain, organize and control highly confidential, often historic files and records; respond to email and phone messages; prepare expense reports; process payments; submit contracts; plan organize and prioritize work flow to keep projects/meetings on schedule; process and track honorary degree and award nominations; reconcile University purchase card use; monitor office expenditures and keep records of funds spent; receive and screen calls and maintain office inventory.
2. Organize, attend and help execute Board of Regents and Board of Trustees meetings, orientations and retreats, Board committee meetings and Board trainings; prepare Board books and committee meeting materials; take meeting minutes; and assist with minute review and maintenance. Maintain, update and upload information on the Board's online portal.
3. Organize the affairs of the Board of Regents and Board of Trustees. Prepare Board communications and mailings, handle transportation and accommodation needs of Regents in connection with Board meetings and events, coordinate quarterly Board dinners and meeting/retreat meals. Draft correspondence to various Board committees and track responses; maintain Regents database; draft and track Board resolutions and contracts.
4. Support the development and implementation of the University Strategic Plan through organization of work, data and report tracking, meeting and event organization, coordination with campus and external constituencies, etc.
5. Organize and prepare office materials and mailings; prepare the Annual Report of the Board of Regents. Maintain Board candidate records. With the support of the Vice President, respond to inquiries from, and offer support to, members of the Board of Regents and Board of Trustees; disseminate information to the Boards for all internal and external groups as directed. Serve as liaison between the Executive Cabinet, administrators and other employees of the University.
6. Perform office duties that include but are not limited to scanning, photo coying, faxing, mailing and filing. Maintain hard and electronic filing system. Maintain and update the Office of Board Affairs' Seton Hall website and the Board portal. Support the Vice President in pursuit of his/her job duties.
Required Qualifications:
Strong, professional written and oral communication skills; ability to help manage a budget and track spending; attention to detail; strong organizational skills; initiative; basic computer skills including Microsoft Office; ability to maintain confidentiality and work as a strong collaborative partner
This position is generally in the office 4 days each week with one day working from home. Additional evening hours are required for Board meetings/retreats.
Desired Qualifications:
Bachelor's Degree; some event planning; previous experience in higher education or working for administration
