This position supports the Office of Student Services broadly on all day to day secretarial work, operations, events, activities, and services to law students. This includes supporting the Dean of Students as well as the Director of Student Services and Event Services. This position is student-facing in its Student Services dimension and is responsible for contributing to a positive, constructive, and inclusive ethos. The position also deals with external constituencies in its Event Services dimension and must represent the law school. Additionally, this position supports the Chaplain of the Law School with all secretarial duties and with Mass preparation.
Duties and Responsibilities:
Assistant Dean for Student Services: This position supports the Assistant Dean for Student Services in managing all day to day activities, enumerated and not, of the Office of Student Services. The office must always be one that students, as well as other members of the law school community, find approachable and responsive; this position serves as the first interaction with the office for many. The Asst. Dean's assistant orders office supplies, answers the phone, monitors/manages the department email, maintains bulletin boards, updates relevant portions of the website, and schedules meetings and appointments. This person is responsible for keeping records and receipts of all department expenses and processing credit card and reimbursement documents. Assists in coordination and maintenance of confidential records related to Declarations of Disclosure, exam excuses, accommodations, Academic Credentials Committee hearings, transcripts, Letters of Good Standing, attendance, criminal records, Social Security Numbers, and credit card information. This position requires discretion and empathy, as it often interacts with students in crisis for academic, personal, or health reasons. Further, this position supports the bookends to the academic year - Orientation and Commencement - through event planning, ordering, set-up, and day-of execution.
Director of Student Services and Event Services: This position supports the Director of Student Services and Event Services with respect to all Student Bar Association and student organization needs, other day to day Student Services functions, and all Law School event related needs. This includes serving as backup for the booking of room reservations, interfacing with catering and serving as backup for online order placement/management, handling all billing and maintenance of invoices/receipts, processing credit card and reimbursement documents, assisting the office and organization with administrative preparation for events, and other support as needed.
Office of the Chaplain: This position supports the Law School Chaplain with all secretarial duties including the ordering and tracking of supplies for the chapel, resource materials for the Chaplain’s ministry and any other needs discerned by the Chaplain. Various other secretarial duties are handled by this position including answering phones, preparing reports and letters, receiving and distributing all incoming mail, scheduling meetings and appointments. The Chaplain's assistant maintains relevant portions of the website. This position is responsible for setting up the chapel for Mass every week, as well as gathering and transporting Mass supplies when Mass is celebrated at a location in the building other than the chapel. The Chaplain’s assistant also furnishes Mass cards to individuals requesting them and keeps the calendar of Mass intentions. The goal is to at all times promote positive and constructive activities to meet the needs of a diverse student body and increase student satisfaction and retention.
