Program Coordinator II
to join their team. This position provides academic advising services for the NAS department majors and minors and for Native American and students from other units on campus seeking services; and provides student support by assisting with financial aid, helping Administrative Assistant organizing social and academic activities, and making referrals to campus, tribal, and community resources. This position will focus upon Native American youth conferences and two-plus-two agreements or other academic collaborations with the Tribal Colleges and Universities (TCUs) of Montana and the region and with other departments on campus. The Program Coordinator II works with the NAS chair, the Director of the Cobell Institute and the Director of the American Indian Governance and Policy Institute, and the AISS director and will oversee the work completed by event staff as needed.
Upon completion of training, the incumbent will be prepared to complete the tasks essential to the position. The incumbent will receive training in scholarship application management, budget orientation, and student-support functions for advising. General orientation to the policies, procedures, and protocols for the PFNAC and the NAS Department will be part of the on-the-job training.
Key duties and responsibilities include:
Oversee Native American Studies (NAS) scholarship applications, verify tribal enrollment, and track use of scholarships for recruiting purposes
Create reports, develop profiles of recipients for donors, arrange thank-you letters
Coordinate the services, activities, and offerings of the NAS Department by developing, organizing, and coordinating overall direction of educational initiatives
Evaluate curricula and create communication links with TCUs for academic collaboration
Serve as a resource for campus in supporting and arranging Tribal College, Missoula County Public Schools, and other educational visits, tours, and collaborations
Assist students in utilizing career and scholarship resources on campus
Attend American Indian Education conferences to represent NAS (as time and funds allow), **MEMBERS ONLY**SIGN UP NOW***. (UM), and Native American student life on campus and to recruit new students
Develop special promotional events, related to the department and to recruitment and retention of NAS and Native American students, in collaboration with other entities on campus
Collaborate with the chair and others on a newsletter, focusing upon significant events and disseminate it throughout the region and beyond via social media and other communication mediums
Plan and coordinate the NAS graduation ceremonies (in cooperation with the Admin Associate)
Serve in a receptionist/public relations role for the PFNAC (Payne Family Native American Center)
Perform work as needed when the Admin Associate needs assistance with these duties (including providing trainings, seminars, and other means of educating public on Indian Education for All)
Offer career counseling and facilitates applications for opportunities outside UM, this includes opportunities such as internships and fellowships, in addition to counseling on graduation school opportunities
Provide statistical reports as requested and needed for continuance of Native American and NAS academic support and recruitment and in regard to ongoing tribal community connections
Required Skills
Understanding of the scholarship portal and basic UM scholarship protocols
Working knowledge of NAS scholarships, donors, and past practices regarding awards
Event planning knowledge or experience
Background and knowledge of working with Native American youth
Budget and planning experience
Skill in writing reports
Exceptional communication skills (including both verbal and written communications)
Excellent interpersonal skills
Ability and willingness to work productively and professionally both in a team setting, as well as individually
Ability to maintain strict confidentiality when handling sensitive information
Minimum Required Experience
High School diploma and two (2) years’ experience or an equivalent combination of education and experience.
Preferred Qualifications
Bachelor's degree in an appropriate field-NAS, Anthropology, Education, Business,
Knowledge of Montana Tribes, MT tribal colleges and universities, MT high schools
Familiarity with Indian Education for All and willingness to research IEFA
Experience working with Native American students, people, organizations, communities, and events
Basic budget planning background and skills
Report writing skills and ability
