School of Dentistry has an outstanding opportunity for Educational Partnerships Program Operations Specialist.
The Educational Partnerships Program Operations Specialist receives project priorities from the Educational Partnerships Faculty Director and reports to the Regional Affairs & RIDE Director. The position performs a wide range of diverse and specialized management activities to execute and control program operations. The employee regularly exercises independent judgment and discretion in work directly related to management policies or department business operations and has delegated authority to make commitments that effect the Educational Partnerships Program, Office of Regional Affairs and the operations of the School of Dentistry. The team focuses on improving oral healthcare access and reducing oral health disparities. The scope of the office includes workforce diversity development programs and clinical care service-learning partnerships with local and regional community organizations, including Eastern and Western Washington. The Educational Partnerships team is committed to creating a culture of equity, diversity and inclusion through its outreach work as well as with in its own operations.
This position requires an individual who is especially detail-oriented and has strong organizational skills. It requires an individual who is skilled at event planning and at producing event announcements and other marketing materials. The selected candidate should be comfortable with identifying and pursuing creative problem solving, as well as have the ability to effectively write and communicate in a concise manner to a variety of stakeholders. Candidate should have an intermediate understanding of the MS office suite; able to design presentations, and produce marketing materials. The candidate should have a intermediate understanding of UW travel procedures, the Ariba system and Procard reconciliation.
The Program Operations Specialist is responsible for supporting the long term and daily operations of the team which includes high school and college student pipeline programs, course management and event coordination for free clinical activities and regional sites across the state. This includes all functions associated with scheduling, budgeting, affiliation of non-UW clinical locations, provider/preceptor relationship management, program accreditation, health & safety and process/quality improvement initiatives. They are also responsible for contributing to the research goals of the Regional Affairs office, participating in HRSA funded research projects related to oral health pipeline and rural and underserved student rotations.
This position is responsible for the School of Dentistrys Americorps program and supervises 1-3 Americorps members annually. This position supports on average 1-3 outside events per month and requires robust oversight of students with in its 3-4 pipeline programs and 6-10 health and homelessness community clinical sites. The incumbent must be able to set priorities and function independently in responding to conflicting deadlines and responding to faculty, staff, and students at the UWSOD and our partners at community sites. The rotations create significant opportunities for dental students to provide oral health care to rural and underserved patients in our region, a top priority of the UWSOD as we fulfill our mission and that of the **MEMBERS ONLY**SIGN UP NOW***. to improve the health of the States population. This position is vital in our work to execute this complex and dynamic set of outreach and pipeline programs
RESPONSIBILITIES:
50% Program Management Responsibilities
Reports to the Regional Affairs Director and oversees the operational functions of the Educational Partnerships programming.
Performs professional administrative and/or programmatic functions, and participates in the development of strategic plans, oversees plan implementation, ensures continued plan adherence and maintains organizational effectiveness.
Works with the Director in revision and creation of program policy.
Reconciles program budgets and oversees spending on supplies and program operations.
Oversees recruitment and selection for the Community Health Professions Academy high school pipeline program participants and Inspire Healers Native American program participants. Directs scheduling of sessions and content of program with Director and AmeriCorps team members.
Maintains program adherence with the UW Office of Youth Programs, UWMC Pharmacy, UW SOD volunteer program, and UW SOD Environmental Health & Safety Department
Data management: Collects and assesses outcomes of clinical programs (productivity) and outcomes of pipeline programs
Participates in HRSA grant supported pipeline activities, specifically for the PATH and MiniRIDE 4 programs
25% Supervision, Leadership, and Special Projects
Assist the Director in training and supporting new hires. Participate in hiring processes and decisions involving all new staff.
Maintain the required aspects of the federal Americorps Program for the School of Dentistry. Supervise one to three AmeriCorps members each year. Evaluates job performance of AmeriCorps members and takes corrective action if performance is not acceptable.
Function as office manager: approve routine purchases, coordinate staff schedules. Work with dental students and AmeriCorps members to order volunteer outreach supplies and instruments, organize equipment before events, manages student and volunteer compliance with University and community partner requirements
Initiate and independently carry out special tasks and projects with approval of the Educational Partnerships Director. Assume supervisory role in relationship to other staff involved in completion of such tasks and projects.
Seek out opportunities for professional development on campus and beyond. Participation on College and University level committees and task forces is encouraged. Development of specialized expertise in population health, leadership and working with youth programs is particularly important.
15% Liaison Responsibilities
Develop and maintain excellent working relationships with key UW units, particularly the Health Sciences Interprofessional Education Service Committee, Health Sciences Recruitment Collaborative, UW School of Medicine Office of Health Care Equity, UW School of Nursing, UW Office of Minority Affairs and Diversity, UW School of Dentistry Student Services Office and Regional Affairs Office (advise and lead on outreach to specific student populations)
Assume lead role in interfacing in forming and maintaining inter-institutional relationships with Washington high schools, community colleges and universities, and tribal organizations. (Eastern Washington University, AIAN Virtual Healthcare Workforce Development Summit, Migrant Education Program in Office of Superintendent of Public Instruction)
Develop and maintain excellent working relationships with key community partners including Union Gospel Mission, Chief Seattle Club, Marys Place, Casa Latina.
10% Instructional Support
Coordinate and support lecturers who teach the core SOD interprofessional curriculum.
Work with the core faculty to build a strong sense of community and share information that will contribute to student success.
Assist core faculty with Health and Homelessness course on Canvas, including on-the-fly changes to assignments, formal course revision, and creation of new supplemental resources.
MINIMUM REQUIREMENTS:
Bachelor's Degree
Three to four years of experience in a health care or health education environment
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS:
Increasingly responsible experiences in program operations and administrative supervision. Complex program management experience and the proven ability to successfully meet changing and often overlapping deadlines. Must have the ability to use/develop tools necessary to manage, organize and communicate large volumes of details.
Demonstrated leadership and/or supervisory experience
Strong interpersonal skills and proven experience communicating with a diverse group of employees (faculty, staff and students), including the ability to collaborate with professionals of different disciplines, perspectives and regional locations.
Ability and willingness to learn new technologies. Demonstrated ability to work with computerized management systems (e.g., MS Office Suite)
Ability and willingness to work weekends, holidays, and evenings for community & pipeline events/courses. Proven success planning and executing special events/meetings.
WORKING CONDITIONS:
Work may exceed 40 hours per week
Frequent work during evenings and weekends is required.
Travel to community sites in Western Washington region monthly (day trips) and annually to Spokane / Eastern Washington (1-2 day stays)
