invites applications for a
Grant Management
Specialist
to join their team. This position reports to the Director of Strategic Fiscal Planning of the Center for Biomolecular Structure and Dynamics (CBSD) and is responsible for providing professional level accounting, budgeting and administrative services for the CBSD. Responsibilities include pre and post-award management of CBSD grants submitted to multiple federal and private agencies and independently developing and managing budgets; including planning, proposal development, grant set-up, assessing, forecasting, consulting, and reporting for all fiscal accounts. The position is also responsible for managing, coordinating and verifying purchasing, payroll allocation, account reconciliation, execution of cost transfers, requests for personnel transactions, and other routine transactions associated with grant and budget management.
The Grant Management Specialist will establish and maintain productive working relationships and act as a liaison for and positively represent the CBSD through effective interaction with the public, campus administrators, faculty, staff and students. This is achieved by cooperating with other University units that are allocated funds though the CBSD NIH CoBRE award or other sources of CBSD funding and coordinating with the Office of Sponsored Programs, Business Services, the Graduate School, the UM Foundation and other entities with which the CBSD may have financial relationships. This position serves as the liaison between the CBSD and the Office of Sponsored Programs for all levels of grants management, including both pre-award (budgeting and submission) and post-award (expense projections and oversight, preparation of progress reports, etc) management.
In addition the position is responsible for the following fiscal and administrative functions:
Create and maintain multiple accurate and timely spreadsheets, graphs, and databases utilizing complex formulas and spreadsheet or database software such as Microsoft Excel and Access for purposes of tracking and managing fiscal accounts and trends.
Accurately conduct complex analysis and interpretation and present accounting/budgeting information, spreadsheets, and reports for decision-making purposes on CBSD projects.
Ensure compliance with federal, state, and UM policies/procedures relating to all accounting and fiscal activities, including grants.
Monitor, analyze, and assess purchasing and personnel transactions for fiscal impact, and independently initiate appropriate action in response to needs, such as budget modifications, revenue reallocations, reports, cost transfers, payment transactions, and personnel forms.
Utilizing excellent written and verbal skills, provides accurate and timely fiscal reports and forecasts on a quarterly basis.
Manage and prioritize multiple complex tasks independently and efficiently so that work is completed accurately and deadlines are met in a timely manner.
Upon completion of training, the incumbent will have developed a working knowledge of:
Cayuse grant preparation and management software suite.
Granting agency submission and reporting platforms such as eRA Commons and Grants.gov.
University software systems, namely GrizMart, Uapprove, Banner, UMDW, InfoGriz.
Required Skills
Strong accounting skills including budget tracking, account reconciliation, ability to interpret and understand account legers and balances.
Ability to manage multiple accounts and accounts with multiple sub-legers, index codes and activity codes.
Advanced programming skills in Microsoft Excel or similar spreadsheet programs. Ability to create and manipulate mathematical formulas, numerical and text data within spreadsheets, and to create and manage complex and multi-page budget spreadsheets.
Advanced working knowledge of Microsoft Word and basic working knowledge of Microsoft Teams and/or Zoom software programs.

Minimum Required Experience
High school diploma and two (2) years of relevant experience, or any equivalent combination of education and experience.
Preferred Qualifications
Degree in Accounting or a related field.
Experience in pre-award and/or post-award financial grant management.
Experience in job-costing or tracking project specific costs.
Experience in developing and maintaining excel workbooks to track actual costs and expense projections to budget.
Experience in governmental or non-profit accounting.
Software experience in Banner, Grizmart, Uapprove, and/or QuickBooks Pro.
