Position Announcement
Position: Assistant Coordinator for Academic Innovation, Online Education & Global Opportunities
The primary objective of this role is to provide project administration, organizational, and logistics support for both Associate Provost. The position requires a person who can prepare and handle sensitive and confidential information with maximum discretion and diplomacy. Candidates must possess considerable initiative, independent judgment, a capability to manage multiple priorities, and strong attention to detail. The position also requires a person who has a highly developed customer service orientation and a proven ability to work across a diverse organization with the ability to interact at all organizational levels effectively.
Duties and Responsibilities:
Serve as primary project manager and lead. Manage changes to the project scope, project schedule, and project costs using appropriate verification techniques
Coordinate internal resources and third parties/vendors for the flawless execution of multiple projects
Ensure that all projects are delivered on-time, within scope and within budget
Measure performance using appropriate project management tools and techniques
Report and escalate to management as needed
Manage the relationship with the client and relevant stakeholders
Provide primary administrative support to the Associate Provosts, including telephone, email, correspondence, expense reports, meeting setups, travel
Manage new and ongoing projects
Prepare routine and complex correspondence, edit and proofread material.
Assist with meeting preparations, including distribution of agendas and taking and reporting of minutes
Electronic File Organization (Storage) / Organize and maintain the office filing system
Assist with the preparation of materials for Board and other high-level meetings
Arrange special guest arrangements and events management
Follow through on issues promptly.
Act as the point of contact among executives, employees, clients, and other external partners
Manage information flow in a timely and accurate manner
Manage Associate Provosts' calendars and set up meetings
Format information for internal and external communication – memos, emails, presentations, reports, flyers, and social media content
Screen and direct phone calls and distribute correspondence
Excellent MS Office knowledge
Perform other job duties as assigned
Required Qualifications:
Minimum of Bachelor’s Degree or equivalent technical education. One to two years job related experience or technical proficiency in appropriate field.
Experience:
Office Management experience working with senior-level administrators.
Fluency in MS Office Suite, especially PowerPoint and Excel
Experience using Social Media Platforms
Database Management Experience
Proficient writing, editing, and proofreading senior-level administrative correspondence.
Demonstrated capacity of detail-orientation, customer service orientation, ability to work independently and with discretion.
Preferred:
Spanish or Haitian Creole-speaking and writing proficiency (preferred)
