Visit Coordinator (Admissions Rep I)
to join their team. This position is responsible for scheduling and arranging all aspects of the daily campus visit experience. This includes pre-visit communication, preparation of visitor packets, engaging with families upon their arrival, providing presentations, arranging meetings with admissions representatives and other University of Montana (UM) campus departments, coordinating campus tours and post-visit follow-up. The Visit Coordinator will operate independently, exercising independent judgement and discretion, with little or no guidance and reports to the Assistant Director of Admissions for Experience and Events. This position makes decisions on behalf of the Office of Admissions and the university that are appropriate, timely and defensible; and communicates effectively (both in writing and orally), with individuals as well as with large groups. The Visit Coordinator will work cooperatively as part of a team with a variety of people, including students, faculty and administrators and will serve as a liaison with other departments and institutions. This position takes considerable initiative in seeking opportunities and developing relationships necessary to effectively promote UM, and maximize the campus visit budget. In addition, the Visit Coordinator is a representative of **MEMBERS ONLY**SIGN UP NOW***., and as such, must demonstrate the highest levels of personal and professional integrity.
Key responsibilities include:
Assist prospective families and students in understanding the academic opportunities and requirements associated with applying for admission at UM. This includes knowledge of more than 170 different majors.
Meet campus visitors daily
Coordinate all campus visits; including those for individual prospective students, and school groups.
Manage the group visit scheduling process, develop itineraries of age-appropriate programming, and compile and analyze visit evaluations.
Support all New Student & Family Program events, communications and outreach, as needed.
Assist with office phone calls and email requests, and assist with additional Admission Office responsibilities and functions as needed.
Manage daily responsibilities in the customer relationship management system.
Compose routine letters & e-mails; respond appropriately and in a timely matter to inquiries and concerns.
Develop strong, positive, and professional relationships with necessary entities across campus, especially those who serve students and guests.
Initiate contact in person, phone, email, or chat with counselors, parents, students, and faculty to assist with recruitment efforts.
Support the Admissions Office’s involvement in university open houses and attend outreach events as needed.
Serve as front desk receptionist and field inquiries from students, parents and high school counselors when needed.

Ability to gain thorough knowledge of all UM policies and procedures applying to incoming students with an emphasis in Admissions, Academia, and Financial Aid to provide families with accurate information.
Ability to provide regular campus visits, as well as group visits on a daily basis.
Ability to work effectively in a team setting.
Ability to effectively plan and exercise decision making skills along with analyzing information and developing solutions to problems.
Ability to troubleshoot issues and maintain a positive working relationship with student workers, colleagues and campus community.
Willingness and ability to cross-train with other Admissions personnel in order to assist with work overflow or to fill in as needed in an absence.
Proficient using a PC and related programs, such as Microsoft Word, Excel and Outlook.
Physical Requirements
Ability to sit and stand for long periods of time.
Valid driver’s license and exemplary driving record.
Preferred Qualifications
Bachelor’s degree from an accredited University and previous experience in the recruitment of students to higher education or an equivalent combination of education and experience.
