DUTIES AND RESPONSIBILITIES
Academic Services Program Administration
Recruitment & Outreach: With academic advisors, perform outreach to prospective students by updating program information (website and print materials) and preparing and staffing a recruitment booth at national conferences. Provide information to faculty, staff, students and prospective students. Update information as program changes occur, attend Graduate Committee meetings, and update the Bioengineering Graduate Program Handbook. Use judgment in providing responses, investigating problems and recommending solutions and/or forwarding information to the appropriate individuals for resolution.
Policy implementation: Identify and address policy concerns at the Department level; consult with the appropriate UW central office for clarification or to discuss specific issues. When there are changes to policies affecting the Bioengineering Academic Services program, notify impacted students, faculty and staff, revise department procedures, and update the departments website and student handbooks.
Instructional Support: Assist with course registration, add code, course evaluation and grade submission processes. Following requirements of the UAW contract, facilitate the recruitment and placement of Teaching Assistants and hourly student employees to fill over 70 positions annually. Facilitate creation of the quarterly teaching schedule and classroom assignments.
Accreditation: Work with the faculty Undergraduate Program Coordinator and the Accreditation and Continuous Improvement Committee to ensure the undergraduate program is meeting requirements. Follow up on requirements that are not being met. Manage and participate in ABET mock and actual site visits. Collect and organize required documentation; maintain the ACI website. Prepare special reports/projects.
Special Projects: Work with the Academic Services Director and other department leaders on special projects. During summer 2023 this will include project management of the departments self-study for the ten-year program review.
Program and Administrative Support
Organize meetings of the curriculum and diversity committees; write and post minutes. Perform special projects including data collection and reporting.
Organize and contribute to strategic planning initiatives related to the Academic Services Program. Contribute to process improvement activities at the department and college level.
Coordinate events and work with advisors, faculty or Administrator to plan agendas and invite speakers from UW, other universities, and industry. Promote events and coordinate event registration and logistics (transportation, venue and catering). Events include graduation celebration, new student orientations, seminars, meetings and workshops.
Propose annual budget for events, program materials and advertising; obtain required approvals and monitor and report on actual expenses. Perform procard reconciliation two times per month and submit required documentation.
Perform other duties such as prepare reports and respond to information requests from the chair and committee chairs.
MINIMUM REQUIREMENTS:
Bachelor's degree in business administration, public administration, communications, or a related field.
Minimum of one year of professional experience working with student admissions, outreach and or advising.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS:
Excellent interpersonal and communication skills, and proven ability to work with multiple constituencies and people of diverse backgrounds.
Demonstrated ability to maintain student confidentiality.
Ability to initiate, develop and evaluate processes and procedures.
Demonstrated success in balancing multiple priorities in a fast-paced, complex organization.
Ability to work independently while functioning as part of a team.
Demonstrated ability to interact successfully with others through phone, email and in person.
A comprehensive understanding of the higher education environment, including the typical student services offered campus-wide at most universities and colleges.
Flexible and available to work some evenings and weekends as needed, particularly during Autumn and Winter quarters.
Intermediate-level experience using MS Excel and MS Word, and PowerPoint (Windows).
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED
Knowledge of UW systems including MyGRAD, SDB, and Ariba.
Working knowledge of WordPress or similar website programs
