About the Department:
University Life Human Resources Services (UL HR) is a unit of the University Life Operations and Planning area, which oversees a variety of support organizations including Technology Services, Finance, Assessment, Project and Process Management, and Communications and Marketing. The Shared Service model of UL Ops and Planning is designed to bring divisional strategy and leadership to these core functions, while addressing the unique needs of our individual units, and providing more robust and coordinated services across UL. The UL HR Services unit serves over 35 offices of University Life in a variety of HR functions, including full life cycle recruitment and HR consultation, in conjunction with Mason's central Human Resources and Payroll office.
About the Position:
Reporting to the University Life HR Divisional Manager, this position serves the division in a shared role capacity, providing support and expert guidance in Human Resources and Payroll functions to the division's 35 units, with a dedicated service line to the Housing and Residence Life unit. Primary responsibilities include the support and coordination of the recruitment and onboarding of new employees, general HR administrative tasks and support, records management, assisting with policy updates and process guidelines, providing general HR metrics and reporting, assists with projects and initiatives, and serves as a cross-functional support to the other UL HR team positions.
Responsibilities:
Recruitment, Hiring, and Onboarding
Serve as a divisional consultant with UL units on recruitment activities: Provide oversight on search functions and ensure Divisional standardized search policies and best practices are being maintained;
Ensure position posting requirements are compliant with University, State, and Federal requirements;
Assist with benefited staff searches in a Coordinator capacity: Reviewing candidates and transitioning through Mason's Applicant Tracking System;
Coordinate interview schedules with search committee members and applicants;
Coordinate with central Mason HR on all required recruitment and onboarding documents;
Coordinate candidate travel as necessary;
Processes new hire paperwork, creates offer letters, and hiring proposals; and
Maintain and update the UL HR team's various shared recruitment trackers, providing accurate metrics and visibility across the team.
HR and Payroll Duties
As part of the UL HR Services team, provides administrative HR transactional functions and consultation to the Division's 35 units: This includes monitoring the UL HR generic email inbox and identifying and categorizing the appropriate response in a timely manner;
Assist other members of the UL HR team as necessary, including being cross trained/cross functional to provide additional support/back-up as needed;
Provides cross functional back up support to the UL HR Specialist in bi-weekly payroll processing, student/wage hiring processes, I-9 verifications, and initiating MasonOnboard packets, as needed; and
Provide dedicated HR support to Housing and Residence Life in areas of compliance-based onboarding material, seasonal staff hiring, and tuition reimbursements.
Departmental Duties
Actively participate on various ad hoc UL Service strategic planning sessions, groups, and committees;
Actively support and comply with all University policies, HR regulations and departmental mission, vision, and goals;
Active awareness of ever-changing Commonwealth, university, and HR related policies, practices, and employment law standards;
Assist the UL Divisional HR Manager with various department projects as needed;
Provide support and actively participate on ad hoc periodic internal audits, staff trainings, and employee engagement activities as needed;
Maintain internal employee files: Ensure all necessary paperwork is routed to central HR records management, while maintaining internal files, and ensure all paperwork is sorted per university/state/federal guidelines;
Ensures all appropriate records retention and destruction processes are followed; and
Other duties as assigned.
Required Qualifications:
Demonstrated experience working with relevant recruiting, onboarding, and personnel matters;
An understanding of HR policies and procedures;
Excellent organizational, communication, and interpersonal skills;
Demonstrated critical thinking skills;
Excellent time management skills;
Ability to exercise judgement and initiative while maintaining high level of confidentiality;
Ability to work collaboratively in a team-oriented environment; and
Demonstrated knowledge and experience with Microsoft Office Software package.
Preferred Qualifications:
Experience typically obtained working 1-2 years in HR, particularly in recruitment activities, Talent Acquisition, or generalist roles;
Experience with basic assessment practices and analytical tools;
Experience working with diverse employee, student, or customer populations;
Experience in higher education setting or with other Commonwealth of Virginia agencies;
Proficiency with Ellucian Banner software and PeopleAdmin (or other applicant tracking software);
SHRM
HRCI
certification; and
Bilingual fluency in Spanish a bonus.
