Graduate School
invites applications for a
Program Manager
to join their team. This position has duties related to University of Montana (UM) graduation coordination, reception responsibilities, accounting/budgeting, project management, and program management of Interdisciplinary Studies, Master's and Doctoral programs, and will assist with providing functional supervision to student workers (including training responsibilities) as needed.
This position’s primary responsibilities and essential duties include:
University of Montana (UM) Graduations Coordination
Receive and organize graduation applications from students from all departments.
Keep applications organized and track progress of graduation applications for all applicants.
Conduct a degree audit, which includes developing an intimate knowledge of degree requirements for all programs and ensuring all applicants have completed these requirements.
Maintain Microsoft Access database tracking graduation requirements.
Award degrees in Banner and provide the Registrar’s office complete and accurate graduation lists in a timely manner.
Gain a high level of understanding of complex policies and procedures and be able to explain them to students, staff, and faculty.
Maintain strict confidentiality and work on projects independently adhering to University of Montana, Graduate School and departmental policies and procedures.
Establish effective working relationships and communicate with a diverse audience.
Knowledge of or ability to learn the UM Library’s Scholarwork’s system and Proquest used for uploading theses/dissertations.
Strategic planning, development of short- and long-term goals, and oversight of graduation process.
Plan, organize and teach campus-wide training workshops for faculty, staff and students on the graduation process.
Reception Responsibilities
Assist all visitors in the office.
Provide excellent customer service, have the ability to multi-task on an on-going basis, provide excellent public relations, including the ability to establish and maintain effective working relationships and communicate with a diverse audience.
Knowledge of or the ability to learn University of Montana policies and procedures related to financial aid, registration, business services, human resources, and various other departments.
Knowledge of standard office procedures and use of standard office equipment.
Demonstrate the ability to establish and maintain effective working relationships.
Researches, resolves problems, gathers facts and data to make informed decisions while, exercising sound judgment, and maintaining a professional personable demeanor.
Knowledge and skill in advanced Word processing, spreadsheets, database, and web based software.
Process TA/RA contracts.
Assist admissions coordinator – gain knowledge of admissions process and be able to admit students in Banner system.
Schedule meetings for the Dean and co-workers.
Prepare travel paperwork.
Accounting/Budgeting
Reconcile and resolve bookkeeping transactions by working with fund accountants to resolve errors.
Identify errors and devise solutions.
Maintain, monitor, and reconcile varied federal or university accounting variables; including state, designated, grant and auxiliary funding.
Knowledge of or ability to learn departmental, university, state and federal rules and regulations governing record keeping and budgeting.
Project Management
Assist with developing protocol and documenting policies for the implementation of systems used to increase efficiencies and performance.
Meet planned timelines for accomplishing systems implementations.
Collaborate with campus representation to outline processes and expectations and to gather business requirements.
Communicate deliverables and timelines regularly to stakeholders
Program Management of Interdisciplinary Studies Master's and Doctoral Programs
Work with the program director to communicate policies and help maintain compliance, collect data and produce an annual report.
Conduct meetings and gatherings for Interdisciplinary students.
Track academic progress of interdisciplinary students.
Collect all admissions materials and present a complete file to the admissions committee.
Upon completion of training, the incumbent will have developed working knowledge of:
UM graduate programs, their policies, and graduation requirements and the ability to communicate this with other employees and students.
UM financial aid, registration, human resources and business services policies and procedures and the ability to communicate this with other employees and students.
Teaching/Research assistant contracts and the policies and procedures regarding the contracts.
The graduate admissions application process and the ability to assist with processing applications.
