Overview
The Budget and Program Specialist works independently to provide high-level administrative and project management support primarily to the Associate Provost for Budget Planning, but also to others in the Office of Provost. The position organizes and maintains files, supports committee work, manages schedules and produces reports and analyses related to position management and resource planning. Under the oversight of the Associate Provost, this position will also manage the annual operating budget for the Provost Office. Additionally, the Budget and Program Specialist supports directly the work of several key University committees, such as the University Priorities Committee.
Responsibilities
Personnel Resource and Commitment Management:
Maintain provost personnel and non-personnel commitment files,
Provide regular and ad hoc reporting of new personnel actions and existing personnel changes by unit, and tracking personnel trends across fiscal years
Collaborate with Associate Provost on Provost Position Management Tool maintenance, requests, decisions, and data
Assist Associate Provost with academic and administrative ad hoc personnel reviews, queries, analyses - including FTE and budget impacts.
Administration:
Assist Associate Provost with agenda planning and materials for ad hoc and standing meetings, including but not limited to the University Priorities Committee and budget meetings with department and
Draft correspondence for Associate Provost; maintain calendar, schedule complex
Ensure accurate and complete archive files of meeting materials and minutes, budget decisions, Provostial commitments, and other actions of the
Oversight of Provost Office website content.
Budget Support:
Manage Provost Office non-salary operational budget- including making approval decisions on relevant expenditures, including:
acting as primary approver for transactions $10,000 and under,
making decisions on expenditures within overall budget envelope,
performing monthly budget review to verify transactions,
coordinating budget updates and projections with Provost units, and handling basic operational requisitions, Concur expense approvals, and journals.
Other special projects as assigned.
Qualifications
Bachelor's degree or equivalent and 5 years of relevant experience.
Strong written and other communication skills; initiative, creativity, and independent problem-solving skills. Financial expertise, competency managing budgets, and the ability to use enterprise-wide administrative and financial systems (e.g., People-Soft, Princeton's information warehouse, etc.).
Advanced Excel skills, including work with large data sets, pivot tables, etc. Ability to prioritize effectively and work autonomously in a self-directed manner.
