Outreach & Special Programs Coordinator
to join their team. The Outreach & Special Programs Coordinator is responsible for coordinating student support and operational efforts for various programs within UMOnline. This position reports to the Distance Education Manager and works closely with UMOnline colleagues on all aspects of course and program development and delivery. The individual in this position is responsible for all dimensions of program coordination and liaison work, and assesses course and program needs, provides direction, guidance, and support at programmatic levels. The employee in this role must work autonomously and as an integrated member of the UMOnline team.
The individual in this position often serves as an intermediary with faculty and administration within **MEMBERS ONLY**SIGN UP NOW***. (UM) as well as representatives of community businesses and organizations. The person occupying this role must be able to communicate complicated procedures and complex information clearly and concisely in both written and oral formats.
The employee in this position frequently encounters situations where guidelines cannot be applied or where policies overlap or conflict. Individual judgment is regularly required to understand priorities, to distinguish alternative courses of action, to identify, interpret and apply applicable requirements, and to take the most appropriate course of action in response to unique circumstances. A high level of independent decision-making is inherent in the position.
Key duties and responsibilities include:
Provides operational support to faculty, students, staff and/or other clients by assessing their needs and providing direction, guidance and support at the course and program levels
Working closely with UMOnline team to administer individual courses and programs to ensure program quality and integrity
First line student support for online registration and payment through CampusCE system
Registration and payment processing for Extended Credit students in Banner
Coordinating third party payments from AmeriCorps, financial aid, 529 tuition plans, and Vocational Rehab
Develops marketing ideas for courses, projects and/or programs
Collaborating with campus stakeholders such as the Registrar’s Office, Business Services, and Financial Aid, in identifying operational needs and improving processes to support students and accomplish program objectives
Monitoring, evaluating and reporting program effectiveness, investigating trends, and recommending modifications to improve program effectiveness
Preparing and monitoring course budgets, verifying and reconciling expenditure of budgeted funds
Using independent judgment, analysis and evaluation in solving and interpreting complex operating problems
Negotiating services with CampusCE
Serving on committees and working groups, and attending professional meetings as appropriate
Required Skills
Excellent written, verbal, and interpersonal communication skills
Works autonomously with attention to detail and follow-through to ensure the success of programs
Ability to provide excellent customer service to stakeholders and assessing needs to achieve satisfaction
Well-organized with a system view and ability to streamline procedures for maximum efficiency
Ability to work collaboratively with a wide variety of stakeholders to meet organizational goals
Knowledge of organizational structures, workflow, and operating procedures
Possesses excellent problem-solving skills
Must be able to act under own initiative, take initiative and act with confidence as well as set own priorities and work methods
Must be able to clearly communicate difficult concepts and complicated procedures in a clear, diplomatic, and professional manner
Demonstrated ability and willingness to evaluate complex information, make judgments, and recommend solutions
Ability to gather and analyze statistical data and generate revenue reports
Ability to provide budgetary input and reconcile individual accounts
Must be able to use computer monitors, keyboards, and other office equipment to perform job duties
Proficient in Microsoft Office Suite
Must be able to sit for long periods of time
Must be aware of FERPA regulations for student confidentiality, as well as maintain confidentiality of our external clients
Minimum Required Experience
Bachelor's degree in a related field, as well as at least two (2) years of related work experience; or any combination of education and experience that would provide the competencies required to successfully discharge the essential duties assigned to the position.
Preferred Qualifications
Background and/or experience with adult education, distance education, program development, and curriculum development
Experience with Banner
Experience managing online registration program or CRM
Experience with needs assessment, program analysis and project management
