The
Intercollegiate Athletic Department (ICA)
invites applications for a
Budget Analyst III
to supervise the day-to-day budget functions of the Intercollegiate Athletic Department (ICA). This position supervises the ICA game contracts, coordinates all internal and external reporting of the ICA, and provides organizational and accounting support to the ICA.
The individual assigned to this position supervises the business functions of the official campus visit program for the ICA, and provides general support for the Athletic Department in the absence of the Athletic Department CFO and the ICA Accounting Manager. The person in this position will also serve as the Student-Athlete Insurance Coordinator.
Essential duties and responsibilities assigned to the person in this role include the following:
• Assisting student-athletes with all insurance claims and billing
• Serving as the main liaison to medical providers and insurance providers
• Annual negotiation and bidding process to secure student-athlete insurance as the best value and service to the department
• Coordinate all benefits with the insurance provider.
Major functions of this position are listed below:
• Athletic Budget Operations:
o Supervise all budget operations
o Implement and maintain strategic and financial forecasting models for long term athletic visions
o Work with department leaders to maintain focus on goals established from those financial forecasts
o Create, maintain and present budget reports for selected sports and sectors within intercollegiate athletics on a monthly and annual basis
o Coordinate and assist in the development of the annual budget preparation process
o Review, monitor and analyze the reasonableness of budgetary request
o Initiate and coordinate all budget changes as needed and requested
o Prepare forecasts, projections, trends, revenue and cost analysis
o Assist with the tracking and recording appropriate expenses related to scholarship budgets
• ProCard Administration & Management:
o Supervise ProCard operations for assigned Procard users
o Review and approve all ProCard expenditures for assigned ProCard users
o Provides notification (verbal and/or written) to ProCard users about compliance related challenges
o Educates all ProCard users on University of Montana (UM), Board of Regents (BOR) and state of Montana rules regarding the appropriate use of ProCard
o Collaborate with the UM ProCard Administrator to ensure compliance with applicable rules and regulations
o Serve as resource to UM Business Services to ensuretimeliness in resolution of compliance related issues
• Coordinate Athletic Audit and Reporting:
o Coordinate all external reporting for ICA (including NCAA Agreed upon Procedures), annual financial audit, Big Sky Conference and athletic financials for the Commissioner of Higher Education (includes responsibility for submission and data verification)
o Assist external and internal auditors by researching and compiling prior year’s information, which will be utilized to complete current year’s audit
o Coordinate information requests from auditors with athletic business office staff
• Organizational and Accounting Support for ICA Business Office:
o Provide complex administrative support
o Serve as back-up for travel request approvals, payroll processing, travel voucher processing, and advances and reimbursements
o Reviewing invoices and claims
o Processing accounts payable payments
o Responsible for monthly, quarterly and year end analysis
o Tracks and controls ProCard activity
o Processing or paying bills
o Maintaining office supplies and equipment
o Review travel request for budgetary compliance
The individual assigned to this position also serves as the insurance coordinator for Intercollegiate Athletics (IA), and manages all daily operations of student athlete insurance program for all 16 departmental sports. The person occupying this role ensures that medical claims are properly submitted to the secondary athletic insurance plan, and coordinates the benefits between student athlete’s primary insurance plan and IA insurance plan. The person assigned to this position must communicate with the student-athlete and his or her parents, athletic trainers, sports medicine physicians, specialist physicians, primary care providers, coaches, and insurance plan representative.
Athletic Department employees and those University employees outside the Athletic Department with NCAA rules compliance responsibilities are subject at all times to NCAA Bylaws 10.1 and 11.1 regarding ethical conduct and the responsibility to positively contribute to a campus culture of NCAA rules compliance. Failure to conduct oneself as such will result in disciplinary or corrective action up to and including immediate discharge.
Required Skills
• Experience with and knowledge of financial forecasting models and goal-setting from those forecasts
• Working knowledge of budgeting principles and practices
• Thorough knowledge of basic accounting principles
• Demonstrated skill and ability to operate personal computers, related word processing, spreadsheet and database software

Minimum Required Experience
• The person assigned to this position should possess, at a minimum, a bachelor’s degree in a related field, as well as at least five (5) years of professional experience working in an accounting or budget analyst role within an Intercollegiate Athletic Department; or any combination of education and experience that would provide the competencies required to successfully discharge the essential duties assigned to this position
Preferred Qualifications
• Master's degree in a related field
• Ten (10) years of experience working in an accounting or budget analyst position within an Intercollegiate Athletic Department
• Three (3) years of experience in athletic administration (preferably at the NCAA Division I level)
• Working knowledge of the use of Banner
