JOB SUMMARY
The Office of Outreach and Engagement (O&E) at the **MEMBERS ONLY**SIGN UP NOW***. (UConn) centrally oversees and supports public engagement initiatives at UConn through outreach, community-based learning, engaged scholarship, and grant development. O&E strengthens UConn's activities in particular fields of regional engagement and fosters collaboration with the University's academic divisions to stimulate the development of UConn's community-based efforts.
Working under the direction of the Director of Outreach and Engagement, the Outreach and Engagement Assistant will provide overall office management, support grant, anproject development and execution, lead executive communication and media relations with internal and external partners, and support other administrative priorities. Successful candidates are expected to possess an advanced level of organizational, communication, and problem-solving skills. This is a public-facing position expected to maintain positive public relations, serve as an essential point of contact for the office, and exhibit discretion, sound judgment, and acumen in obtaining and providing information. The candidate will work with sensitive data collected with the community and the University.
DUTIES AND RESPONSIBILITIES
Applies sound judgment and customer skills to serve as a main point of contact for general inquiries to O&E, managing inquiries from students, faculty, and external constituents, requiring an understanding of program specialty.
In conjunction with the Office Director and Associate Director, creates, maintains, and updates appropriate resources, training materials, and guidance related to best practices in outreach and engagement at UConn.
Maintains and coordinates schedules for managers, supervisors, Outreach and Engagement advisory committees, and for division programming and events. Schedules conference and day-to-day travel for the Department and processes reimbursements.
Coordinates and manages relevant logistics for office-related events.
Initiates financial transactions, as needed. Tracks and documents unit budget and compliance with record standards. Monitors and approves routine expenditures.
Assists in a variety of standard processes and special projects throughout the academic year, in partnership with the Director, Associate Director, and outreach and engagement stakeholders. This may include coordination of the nomination process for the Provost's Awards for Excellence in Public Engagement, website and social media posting and maintenance, trainings and events, and special projects with community partners and UConn academic stakeholders.
Assembles and interprets data, prepares reports, and handles correspondence
Generates and prepares correspondence and reports.
Coordinates communications on outreach and engagement programming to students and faculty on behalf of the Director and Associate Director.
Maintains a database of current and impending outreach and engagement initiatives at the **MEMBERS ONLY**SIGN UP NOW***., as well as other program-specific data.
Reviews records and data for accuracy, reconciles differences, and works with other staff and university offices to identify errors and make corrections. Assists with the maintenance and coordination of complex filing systems, records, and mailings.
Implements and maintains policies and procedures in compliance with University and Department standards.
Supports the identification and implementation of new projects, grants, research, and entrepreneurial endeavors relating to the benefit of the community and the University.
Provides operational and administrative support to the Office by overseeing the daily functions including reception, inventory and procurement of supplies, monitors incoming and outgoing mail and deliveries, processes maintenance requests, and participates in cooperative efforts to implement Outreach and Engagement initiatives.
May serve on various planning or advisory committees in the University or in the community, as necessary.
Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Bachelor's degree in communications, business, public administration, or a related field.
Two years of professional experience, including proven ability in administrative or project management, including demonstrated ability to resolve administrative and operational problems.
Proven business acumen commensurate with the needs of a central support services office including the ability to work independently, exercise sound judgment to resolve complex issues, and prioritize routine and high-level tasks and demands.
Excellent interpersonal skills and demonstrated ability to establish relationships with a variety of constituents on behalf of the Office.
Excellent oral and written communication skills,
Excellent computer skills including in Microsoft Office Suite and social media.
PREFERRED QUALIFICATIONS
Three years of experience working in higher education or a related community support environment.
Demonstrated ability to work effectively with a wide variety of constituents, including faculty, staff, students, external partners, and other university administrators.
Two years of experience providing direct and autonomous program support, supporting the operations of an office, or in a related administrative capacity.
Familiarity with the operations and governance of the **MEMBERS ONLY**SIGN UP NOW***., obtained by either working or volunteering at UConn.
Proficiency in data visualization, database management, and record-keeping.
Experience reporting project and program outcomes.
