SUMMARY
Responsible for providing administrative, analytical, computing, and staff support for the department. Performs a wide variety of administrative and support services within the Psychiatry department. Assists in the planning and support of department education programs and their activities. Coordinates clerkship and pre-clerkship schedules, speakers, content, and handles communication with students, faculty, and clerkship and course directors.
ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned. Responsible for providing administrative, analytical, computing, and staff support for the department.
Executes assignments and tasks requiring data collection, information gathering, analysis, data entry/retrieval, data base maintenance, and forms and graphics generation.
Must be proficient in utilizing a variety of software packages including one45, Canvas, New Innovations, ECHO360, ExamSoft, and Webex/Zoom.
Screens calls and provides information in accordance with organizational policy.
Receives and appropriately handles incoming correspondence and responds to inquiries.
Schedules meetings in-person (when appropriate and safe) and virtually.
Develops and implements controls for work assignments under the direction of the Vice Chair, Chair, or clerkship/course directors.
Maintains essential records and assists in the maintenance of all activity files.
Prepares and/or compiles data for special reports and analyses, monthly reports, program evaluations, preceptor evaluations and other related reports within prescribed guidelines.
Schedules third year medical students into their clinical sites for clerkship assignments. Communicates with students regarding curriculum, didactics, requirements and grades. Updates Canvas regularly with clerkship assignments, curriculum, syllabus, schedules, and resources. Communicates with preceptors and hub-site coordinators monthly regarding student assignments and evaluations. Finalizes grades in one45. Attends quarterly clerkship meetings.
Assists director(s) with first year medical student course and Second year medical student course. Updates Canvas with current slides, recordings, schedules, meeting links, speaker biographies, and curriculum. Communicates with speakers, course directors, phase directors, program assistants, and students daily. Creates exams in software and downloads result reports for directors in a timely fashion. Creates virtual sessions in Webex or Zoom for course. Uploads lecture recordings daily. Finalizes grades in one45.
Adheres to office procedures, follows standards, and recommends and implements new or modified procedures as needed.
Serves as principal liaison between the clerkship and pre-clerkship directors and other administrative units such as Academic Affairs, Clinical Education, Accounts Payable, Human Resources, and Information Services and Technology.
Understands and adheres to Rowan SOM compliance standards.
Keeps abreast of all federal, state and Rowan University regulations, laws, and policies as they presently exist and as they change or are modified.
Performs other duties as assigned.

EDUCATION and/or EXPERIENCE
Bachelor's Degree in Liberal Arts, Public or Business Administration, Social Sciences or a related field, plus one (1) year of professional level experience in a business office, government agency, or university setting. Additional related experience may be substituted for the degree on a year-for-year basis.
