The Associate Director of Alumni & Family Engagement is responsible for establishing new and expanding existing alumni and family engagement initiatives through experiences, events, philanthropy, and volunteerism, with a focus on enhancing alumni and family connections with Seton Hall and expanding philanthropy, as we head into a comprehensive capital campaign. Partnering with members of the Alumni Engagement & Philanthropy Team, and the University Advancement division the role will create alumni, parent, and other constituent engagement and fundraising opportunities. This individual will assist with the execution of engagement initiatives such as reunions, alumni affinity group experiences, parent activities, and school/college-based activities, amongst others. The individual will assist with the expansion of the reunion program, the creation of an alumni weekend, and creating new parent engagement opportunities. The position will be front-facing, meeting and engaging with several key alumni groups, inspiring alumni to become connected, engaged and invested in the progress of Seton Hall. In addition, the Associate Director will manage all aspects of event planning strategy and process to ensure the highest level of execution for a variety of events, including reviewing and preparing event-related contracts with vendors and venues, to ensure all University requirements are met. Some travel is necessary, for engaging with constituent groups outside of New Jersey.
A primary aspect of the Associate Director’s role will be to oversee the annual Many Are One Gala, a premier event for the Seton Hall community which celebrates and recognizes alumni while building financial support through gifts and sponsorships.
The Associate Director will be involved in all aspects of Alumni Engagement, including communication, digital, experiential, annual and leadership giving and volunteer engagement by working collaboratively in a fully integrated engagement team.
Duties and Responsibilities:
1) Develop, coordinate, implement and evaluate a wide array of programs and projects to promote a lifelong relationship with Seton Hall among alumni and families. Strategically build a vibrant and involved network of Seton Hall constituents throughout the country. Identify and recruit alumni leaders. Regularly meet and communicate with constituents using existing and developing communication strategies, methods and technologies. Engage, cultivate, solicit and steward donors as needed. Develop new ways to foster constituent pride and tradition, while building engagement and philanthropy. Meet with key alumni both locally and regionally, with special attention to building Seton Hall constituent engagement through volunteer champions, while promoting philanthropy. Oversee the annual Many Are One gala while soliciting gifts and sponsorships.
2) Manage all Alumni Engagement & Philanthropy events and experiences for both alumni and parents, including event planning logistics, budget mindfulness, contracts, execution of successful events with a high standard of detail, and strategic oversight. Oversee all event logistics and management including but not limited to contract management, vendor agreements, on and off campus requests, exceptional verbal, and written communication with event lea, etc. Share events with key constituents within the division and at Seton Hall and encourage attendance from members of University Advancement. Ensure that University messages, with specific attention to alumni and parent communication, are disseminated in the most efficient and effective ways throughout each event. Promote a philanthropic message, with a goal to capture alumni and parent donors by connecting them with their passion and determine the fundraising cause at each event. Promote the mission of the University at the event and work to strengthen the University’s reputation. Provide guidance and direction to staff and volunteers in support of programs and experiences. Create a pre, during and post event checklist for each alumni experience to ensure quality control. Assign specific tasks to team members working events. Ensure that events are planned a minimum of 3-6 months in advance of the date of the event.
3) Work collaboratively with the Director of Experiential and Volunteer Engagement, University Advancement, and campus partners as an integrated team member of the Alumni Engagement & Philanthropy team. Participate in all aspects of alumni engagement, including philanthropy, communication, digital, experiential, leadership giving and volunteerism. Build mutually beneficial relationships that inspire loyalty and financial support, strengthen the institution’s reputation, and involve alumni in meaningful activities to advance the institution’s mission. Help to oversee the Alumni Board scholarship awarding process on an annual basis.
Required Qualifications:
BA plus 3 years experience.
Driver's license and access to reliable transportation for travel to off-campus events as required. Prior experience managing and executing projects as well as proven success in event planning and logistical needs.
