Job Description:
Full-time, year-round position responsible for assisting and providing clerical support for the Human Resources staff.
Duties and Responsibilities:
Serves as receptionist for the Human Resources Department, assisting and directing applicants, employees, and other visitors.
Performs clerical functions for the Human Resources Department, including but not limited to: data entry, filing, copying, collating, answering telephone, processing of daily mail, etc.
Provides limited backup and clerical support to the Employee Benefits Specialist, including, but not limited to:
a. Assisting with annual open enrollment.
b. Maintaining and filing records as directed and in accordance with HIPAA guidelines.
c. Assisting with intake paperwork for Internal/Federal work studys.
Acts as backup for the Operation of the College Vehicle program, including but not limited to:
a. Requesting and copying required valid driver's license.
b. Submitting driving record requests via fax/email as required.
c. Revising and monitoring the approved driving list for expired licenses and outdated driving reports as necessary.
Provides limited backup for personnel specialists including but not limited to:
a. Scheduling applicant interviews.
b. Assisting with data entry, as needed.
c. Preparing quarterly wellness newsletter.
Serves as key operator for Building I network copier, including, but not limited to:
a. Monitoring and ordering supplies, and troubleshooting.
b. Recording monthly meter reading.
Assists in preparing and maintaining of new employee packets and FRS Information, as needed.
Schedules utilization of Building I conference room.
Reviews adjunct instructor letters of intent (LOIs), verifying course approval and personnel data. Identifies and assists in resolving any areas of concern.
Revises and maintains birthday list.
Assists in departmental projects, including but not limited to electronic scanning of data.
Maintains confidentiality of all personnel records and matters, including observing current HIPAA and FERPA guidelines, to ensure personal history information is protected. Limited access to Personal Health Information (PHI) when specifically authorized by the Director for Human Resources or Employee Benefits Specialist.
Contributes to unit planning, assessment, and college institutional effectiveness efforts.
Acts in accordance with College policies and procedures.
Performs other duties as assigned.
Requirements:
Educational:
High school diploma or equivalency preferred.
Experiential:
Clerical experience or an A.S. degree in Office Administration (or equivalent) preferred.
Other:
Proficient typing and computer word processing skills required. Experience using Microsoft Excel preferred. Strong interpersonal skills required.
