General Description of Position:
Provide administrative assistance and professional-level support to the Vice Chancellor for Academic Affairs (VCAA).
Major Responsibilities:
• Coordinate and maintain effective office procedures and efficient workflow.
• Implement policies and procedures set by Vice Chancellor for Academic Affairs.
• Provide leadership of the review and revisions of term class schedules. Assist academic assistants, as needed, with entering class schedules and course fee information into Banner.
• Determine and input classroom assignments into Banner each term.
• Use professional initiative and judgment during the VCAA’s absence to ensure that matters requiring attention are referred to the appropriate personnel.
• Assist VCAA in preparing for meetings, work projects, and reports.
• Schedule appointments and assist with maintaining the VCAA’s calendar using Microsoft Outlook. Arrange and coordinate conferences, workshops, and meetings as requested. Process travel requests in Chrome River as needed.
• Receive and direct visitors to VCAA or other appropriate people.
• Maintain and organize confidential records and files (i.e., contracts, budgets, etc.), both electronic and hard-copy.
• Provide leadership of the coordination and training of the Faculty Credentialing System.
• Compose, revise, and prepare correspondence and reports for VCAA signature as requested.
• Coordinate VCAA academic events and activities with School Assistants (i.e., Advisory Board meetings, Adjunct Assembly, Non-Instructional Week activities, Commencement, Outstanding Graduate Ceremony, etc.).
• Provide leadership over and assist with scheduling of classrooms using 25 LivePro. Determine need for and provide 25 LivePro training for others as needed.
• Serve as a trusted liaison to strengthen relationships and partnerships with a number of areas that interact regularly with the Academic Team (i.e., Testing Services, Library, Airpark campus colleagues, Tutoring Services, leadership at other service area sites, Educational Technology, Information Technology, Student Services, etc.).
• Communicate effectively and professionally with Academic Leadership (i.e., Deans, Program Chairs, Department Chairs, etc.). Establish and maintain collegial and highly professional working relationships with colleagues, faculty, staff, students, and business partners and serve as a professional representative of the Academic Team.
• Schedule and lead meetings with the Academic Assistants to establish and strengthen teamwork approach to schedule building, adjunct faculty contracts, and course cancellations.
• Maintain full-time faculty and adjunct faculty information.
• Provide assistance to Academic School Assistants as needed.
• Perform other duties as assigned.
Minimum Qualifications:
Associate’s degree in Business Operations, Applications, and Technology or a closely related field and four years of experience in a professional, fast-paced office environment.
Strong working knowledge of Microsoft Word and Excel.
Professional communication and organizational skills.
Ability to maintain confidential information.
Possess a spirit of service and teamwork, as well as initiative, patience, and ability to adapt with
little direction.
Present a positive and professional image.
Preferred Qualifications:
Bachelor’s degree and working knowledge of the higher education environment. Knowledge of Google Drive, Zoom, and Banner 9.
