Job Description:
General Summary:
Provides executive administrative assistance to the Vice Provost for Student Formation and Community Engagement, including: office management, scheduling and meeting coordination, budget monitoring, travel arrangements, file management, personnel issues, special projects, communications and publications, clerical support, and responding to inquiries from students, faculty, staff, parents, and the public. Assures Vice Provost is fully briefed before scheduled meetings and projects.
Job duties:
Provides executive administrative support to the Vice Provost for Student Formation and Community Engagement (SFCE), including: office management, scheduling and meeting coordination, budget monitoring, travel arrangements, special projects, clerical support, communication with on and off-campus constituencies, composing correspondence, maintaining files, and attending staff meetings and retreats.
Assists Vice Provost on projects, including: gathering, researching, and preparing data for various projects, publications, and presentations; reviewing and proofreading materials for accuracy and conformity; and assisting in preparation of reports for Board of Trustees meetings. Assures Vice Provost is fully briefed before scheduled meetings and projects.
Assists with resource/budget management for Vice Provost for Student Formation and Community Engagement and SFCE departments. Administers, monitors, and reconciles office budget. Prepares and completes University paperwork required for financial, accounting, and personnel/payroll procedures. Coordinates process for Students in Crisis Fund, including arrangement for and accounting of dispersed funds.
Maintains appropriate communication and coordination with the President's Office and other vice president/provost offices on cross-functional matters, events, and issues of mutual interest. Maintains appropriate communication with other University departments, students, parents, trustees, faculty, etc. and serves on/assists with University committees as directed by the Vice Provost for Student Formation and Community Engagement.
Serves as primary liaison for the SFCE Office. Coordinates and edits SFCE publications and the Student Life website, as well as relevant areas of Catalog and Time Schedule. Serves as primary approver of SUB 207 and Fireside Room reservation requests. Serves as a member of a small leadership team of Master Calendar approvers on campus; serves as primary approver for Current Student Master Calendar.
Provides administrative support for Leadership Studies minor.
Maintains personnel files of SFCE staff. Assists with process paperwork relating to recruiting and change in positions. Serves as proxy for monthly exempt staff leave report approvals.
Coordinates and implements department events such as staff gatherings, professional development events, and leadership retreats; assists in the coordination and implementation of University events such as Ivy Cutting, Commencement, and other events as requested.
Coordinates upkeep of office equipment and hospitality supplies for SFCE Office. Serves as liaison for route maintenance, remodel, housekeeping, recycling, MFPs, and security for the Student Union Building.
Requirements:
Bachelor's degree.
Three years of experience in office management, clerical or administrative experience. Five or more years of experience, a plus.
Self-directed personality with strong interpersonal skills and ability to work in a team management setting. Strong written and oral communication skills.
High level of confidentiality due to legal and regulatory issues.
Willingness to work flexible hours during peak-loaded periods and special events sponsored by SFCE and departments.
Strong personal commitment to the University's Christian mission.
Proficient with Microsoft Office products including Outlook, Word and Excel and OneNote.
Experience with Banner, Sitecore, Argos, Publisher and Adobe, is preferred.
