I. JOB OVERVIEW
Job Description Summary:
The Department of Speech, Language, and Hearing Sciences provides undergraduate and graduate programs focused on engaging students in the acquisition and application of knowledge of human communication and its disorders. Whether learning about communication sciences or the relationship between language and society, students studying speech, language, and hearing sciences receive in-depth knowledge of all aspects of communication, including the consequences of speech, language, and hearing challenges on individuals and society and the treatment of communication impairments.
The Speech, Language, and Hearing Sciences Department is searching for an Administrative Assistant to serve as the primary administrative support of the department by performing a variety of clerical and administrative tasks. This position is the primary liaison for department faculty and student needs. This position acts as the face of the department and manages email, phone calls, and in-person interactions with students, faculty, staff, clients, and the public. This position works closely under the direction of the Academic Department Administrative Supervisor in maintaining the efficient operation of the department.
Specific responsibilities and duties for this position include:
* Provides service and support to department faculty, staff, and students as well as external constituents, responding to inquiries via phone, email and in-person communication.
* Serves as initial point of contact for technology issues; oversees maintenance and upkeep of departmental technology.
* Oversees maintenance and upkeep of departmental technology.
* Maintains department files including internal policies, historical information, and student records.
* Maintains the organization of the department's digital file server.
* Assists with admission processes including regular correspondence with prospective students and coordination in new student orientation
* Assists in the coordination of marketing efforts for the department including the maintenance of the department web page and social media profiles.
* Assists in course scheduling and maintains accurate class lists.
* Solves student registration issues.
* Coordinates logistics and preparation related to orientation receptions, celebration, lectures, open houses, and other department events.
* Directly supports the Department's Director of Graduate Studies during peak periods.
* Assists with the student externship placement process including detailed database management, regular communication with students and external supervisors, and the management of contract workflow processes.
* Efficient operation of the office to include secretarial, clerical, and administrative duties which enable the office to increase its efficiency and effectiveness.
* Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are related to the position.
Minimum Qualifications:
Qualified candidates will hold a high school diploma/
GED
plus 3 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

* Experience and demonstrated proficiency at the basic level with Microsoft Word, Excel, and PowerPoint.
* Experience with Zoom

* Demonstrated experience working collaboratively with peers.
* Possess the ability to work successfully in a high stress environment, handling multiple tasks and projects simultaneously.
* Ability to work with accuracy.
* Ability to maintain confidentiality on all information regarding student records, faculty and student communications, and personnel matters.
Typical Hiring Range
