Job Description:
General Summary:
Oversees the complex and multifaceted details pertaining to Seattle Pacific Seminary prospective and current student academic advising, scheduling, support and general administration. Oversees the Adjunct and Overload processes and Adjunct onboarding.
Prospective and Current Seminary Student Support Services
Field prospective student questions and program inquiries through email, phone, and other digital platforms, in-person meetings and prospective student events.
Under the direction of the Director, coordinate recruiting efforts and foster relationships with prospective students
Work with the Office Manager and Event Coordinator to organize in-person and online prospective student events.
Coordinate and provide and technical support and online communications for seminary degree and certificate programs (i.e. MA, M.Div., GCCS)
Provide independent end-to-end coordination for New Student Orientation and THEO 6001: Acts of Piety
Advise graduate students on Contextual Education processes and procedures
Maintain and update written, and online graduate polices and petitions
Graduate Curriculum Support
Under the direction of the Director, quarterly track and arrange support for students on academic probation
Notify SOE/SBGE/SPFC program coordinators of students taking interdisciplinary courses
Ensure student completion of the ESQ and GSQ; data with Graduate Studies Committee
Track and communicate the completion of M.A. theses/projects with all necessary administrators.
Maintain and update student Handbook of SPS wiki page
Communicate curricular updates and special course offering to students via Seminary Newsletter, social media, and SPS webpage.
Track and advise students on graduation processes and requirements.
Provide general administrative support to the Director of Seminary
Assist the Associate Dean with the Course Schedule input into CourseLeaf system for UG and Graduate programs.
Create annual accreditation report forms with the Associate Dean (e.g. annual report forms, student and alumni questionnaires, etc.) for ATS and denominations
Charge quarterly Seminary Student Council fees to students accounts
Create and maintain current and alumni contact distribution lists
Manage printed and digital SPS promotional materials
Coordinate and provide support for the production of marketing/promotional materials for the Seminary, including: photography, videography; electronic and mail campaigns
Process payments (e.g. counseling/mentor service, P-card statements, etc.)
File petitions for new degree programs, delivery program, changes, etc.
Provide administrative support the ATS reaccreditation designee(s) as needed
SOT Office Backup to SOT Office Manager Alexander conference room reservations, pickup/distribute mail, Facilities work orders and front desk coverage as needed.
Budgetary Responsibilities
Quarterly SOT/SPS Adjunct Hiring Manges all hiring steps of SOT/SPS adjunct faculty (paperwork for HR and teaching contracts).
Work with new adjuncts so they are set up for employment
SOT/SPS Faculty Overload/Contextual Ed/Internship Contracts Create Special Services contracts for HR and Finance.
Requirements:
Bachelor's or Master's degree, degree in Theology preferred.
Previous experience working in HigherEd.
Detail oriented person, able to manage multiple projects at a time.
Proficient in Microsoft Office suite, including Outlook, Word and Excel.
Preferred qualifications:
M.Div. or M.A. in a theology or specialized ministry.
2 years of experience in admissions, student affairs, or in an administrative leadership position in a church, non-profit, parachurch, or in higher education.
Possesses winsome public, online, interpersonal, and written communications skills.
Self-awareness of racial/ethnic/gender identity and demonstrates ability to cultivate relationships of trust with a diverse group of internal and external constituencies.
Results-oriented self-starter who demonstrates the ability to lead and be a team player in an administrative and/or ministry environment.
Demonstrates resourcefulness, resiliency, trustworthiness, and a strong sense of responsibility.
Exhibits a vibrant commitment to Jesus Christ, a passion for theological education and the ministry of the local church.
Experience in Adobe and Tableau, a plus.
Additional Information:
Position will remain open until filled.
Salary: $48,500 - $52,000 DOE
This is a full time position with excellent benefits. SPU pays the employee premium for medical, dental, and vision insurance. SPU makes contributions to an employee HSA account and to a retirement account after one year of eligibility in the plan. Tuition discount program available for the employee and qualified immediate family members.
