Job Description:
General Summary:
Provides administrative support for the Biology and Chemistry departments, the Pre-Professional Health Sciences program, and the Family & Consumer Sciences program. Assists faculty by providing various services and clerical support. Establishes and implements office procedures. Assists faculty and staff with travel arrangements, reimbursement requests, payments, purchases, and other finances. Hires, trains, supervises, and evaluates office student workers. Maintains office organization and supplies.
Establishes and implements office procedures; assists faculty, staff, students, and visitors as needed; maintains routine student files, answers telephones, sends prospective student information, resolves problems. Provides main office support for the Director of FCS and the Biology and Chemistry department chairs.
Support of Faculty and Staff: Assist Biology, Chemistry, and FCS faculty and staff as needed in processing the following financial forms: request for payment, reimbursements, advance expense, rush checks, transmittal of funds, and reconcile procurement card monthly. Maintains spreadsheets for particular funds; maintains food lab bank account and takes care of funds related to FCS; tracks expenses for each department. Assist faculty with travel arrangements and with professional memberships and subscriptions. Help the coordinators of faculty searches with interview scheduling, and logistics of transportation and lodging for candidates. Maintains various records: syllabi, financial, pre-professional health (PPHS) student files. Communicates promptly and regularly via email with students, faculty, and staff. Assists FCS Advisory Council.
Assists faculty with preparation of drafts for time schedule and catalog. Maintains syllabi files (including changing content on a quarterly basis).
Support of Student Procedures: Assist in getting GPA lists of junior and seniors for scholarship distributions in the spring and coordinate with Student Financial Services to send letters of notification to scholarship recipients. Prepare certificates that are given to students at the annual awards ceremony. Update the scholarship plaques. Handle arrangements for events including summer graduation orientation and admissions events for FCS.
Pre-professional health sciences: Coordinates the PPHS program in collaboration with students, faculty, the PPHS director and Biology Chair. Coordinates, schedules, and manages the winter-spring PPHS application process with students and faculty. Works with students, faculty, and external recommenders to collect, track, assemble and submit all student data for committee application packets required for application to AMCAS, AACOMAS, Dental, Veterinary, and other professional school application portals. Collects and tracks all data electronically on PPHS and Biology student preparation, professional applications, and career paths from matriculation at SPU onward.
Blakely Island Field Station support: Send information letter and liability forms to students enrolled in the summer Blakely Island classes. Process financial forms in support of the Blakely Island Field Station Director.
Office functions: Establishes and implements office procedures and organization. Keeps office and kitchen supplies in stock at all times; orders upon request as well. Schedules meetings upon request. Cultivates staff/faculty cohesion via celebrating birthdays, updating staff directory. Provides basic assistance with Scantron grading machine. Prints jobs for faculty and student TAs upon request. Keeps office clean and tidy. Collect and hand back graded exams and assignments. Collects, sorts, and sends mail. Keep office procedure manual up-to-date. Purge old files and generally keep office orderly. Digitize old paper files. Assist all faculty in preparation for quarter work. Assist in planning and coordinating online structure used throughout the graduate curriculum for FCS.
Building-related responsibilities: Receive training as and carry out the duties of Emergency Building Coordinator for Eaton Hall (bottom floor) and/or Peterson Hall. Assist faculty with room scheduling. Help maintain order in the building: reserves rooms and approve reservation requests, files facilities work requests and CIS tickets. Monitors postings and flyers; takes down what is out-of-date. Assists with PPHS reunion event, Bio/Chem spring BBQ, and other events.
Student workers: Hire students for office assistant, grader, and TA positions upon request. Enter student information into Banner and approve hours. Train, supervises, and evaluates office assistants.

High school diploma or equivalent. AA or Bachelor's degree, a plus.
Ability to type at least 40 wpm.
Proficient with Microsoft Office suite, including Word, Outlook, and Excel.
Additional Information:
Position will remain open until filled.
Full time for 10 months, 1/2 time for two months (July/August).
Salary: $20.42 per hour
This is a full time position with excellent benefits. SPU pays the employee premium for medical, dental, and vision insurance. SPU makes contributions to an employee HSA account and to a retirement account after one year of eligibility in the plan.
