Why us, why now?
This position, within AAMC's Learning Delivery Unit, plays a key role in several programming and content functions related to the AAMC Annual Meeting and other learning offerings. This position is crucial in the programming, promotion, and content related to the Annual Meeting and other learning offerings. This is not a meeting planner role but focuses on meeting content as well as the attendees'/speakers/exhibitors overall experience at AAMC.
The Education Content Specialist will develop and shepherd content by partnering with subject matter authorities across the association, member institutions, and high level VIPS/leaders with vision.
The responsibilities related to attendee experience include broad areas Learn Serve Lead, as well as partial support of other learning offerings.
How will you make an impact?
CONTENT PLANNING AND DEVELOPMENT (65%)
Lead all aspects of content planning as well as coordination of internal processes to identify and secure subject matter expertise.
Conduct research and environmental scanning to develop potential conference topics based on AAMC's missions, strategic priorities, and attendees' feedback and other sources and resources.
Serve as liaison to the advisory committee and work with the internal team members to develop the call for proposals, the review process, and staff communications for committee decisions.
Collaborate to craft the committee's meetings and outcomes. Keep committee updated on program development progress throughout the year.
Develop topics for onsite focused discussions held during the annual meeting. Review submissions and work with senior directors in resolving topics to move forward.
Build a schedule and planned agenda for the annual meeting.
Balance the needs of the speakers and program staff with the needs of the attendees to creatively schedule sessions within an agenda that offers broad appeal throughout the conference.
Conduct call for proposals for table topics and serve as the main contact for attendees' who are leading table topics/focused discussions.
Draft session descriptions for a speaker series and finalize formats and session details.
Work with VIP speakers and Senior Director to finalize session descriptions, arrange and participate in planning calls, and coordinate with communications copyediting for final web and agenda copy.
Develop scripts and prep materials for speakers, facilitators, and AAMC staff leadership.
Work with senior director of communications (including executive writing team), to identify scripting needs and a work plan. Draft initial scripts and outlines for a variety of annual meeting sessions and events including plenaries and a speaker series.
Contribute to the creative development process and project management of content-rich videos used for plenary sessions. Work closely with the senior director and outsourced, public affairs' video production company to manage the process and work with communications units at our member institutions to coordinate video production at campus sites.
Identify and contract musical and artistic talent as well at other learning events when needed.
VIP SPEAKER MANAGEMENT AND LIAISON TO SPEAKERS' BUREAU (15%)
Serve as a liaison to speakers' bureaus and contracting.
Coordinate contracts with procurement. Submit invoices for payment.
Serve as a centralized resource and contact for any speakers who are receiving financial payments for their speaking engagements.
Secure local bookstore contract for author book sales and coordinate author book signing events with the speakers' bureau and selected bookstore.
DELIVERY PLANNING OF EVENTS AND EXECUTION (10%)
Work with meeting manager and planner specifically on execution of sessions. This includes AV orders, recording of sessions, bookstore contracting and author events, and any of the plenary and VIP speaker series' sessions.
MARKETING, COMMUNICATIONS, PROMOTIONS AND EXHIBITS (10%)
Deliver on learning delivery promotion for annual meeting.
Work with a cross-functional team and external consultant to attract attendees and other offerings.
Work with AAMC Marketing to develop and execute promotions and the overall plans for promoting any AAMC Learning Offerings.
Write compelling copy, both informative and promotional, and review marketing promotions.
Work with senior director, learning delivery and manager, annual meeting to draft portions of the promotional website.
Along with the Director, Operations, serve as a centralized, main contact to AAMC marketing and creative services for the learning delivery unit and help develop and drive initiatives that increase attendance at meetings overall as well as aid the unit in the coordination of new designs and templates or promotional tactics to be used across individual learning delivery offerings.
Serve as the main contact for exhibits' consultant and as a central contact for the learning delivery unit.
Work with annual meeting planning team and outside consultant to develop concepts for attracting attendees to the exhibit hall.
Scan other conferences and meetings in the health care and medical education spaces to identify organizations as potential exhibitors for any AAMC meetings.
Aid in identifying sponsors and exhibitors for all learning offerings and work with contracted exhibits management and marketing consultants to achieve revenue goals.
What you'll bring to the role
Bachelor's degree required. Degree in public health, communications, journalism, marketing, or adult education preferred. Master's degree preferred.
Minimum of 5-7 years of experience in association management, education management, communications, or program management required. Has to be able to write for talking points and also write promotional material.
Association education experience preferred. Knowledge of AAMC member institutions and their missions and issues helpful. Experience working closely with event planning teams for revenue generating meetings would be helpful.
Must be detail oriented and possess above average organizational and communication skills.
Experience with accounting, budgeting and financial management and reporting experience.
Experience working with diverse constituencies.
Strong communication, interpersonal, and diplomatic skills required. Extensive written and oral communication with AAMC staff, program staff, committees, constituents, and vendors frequently.
Strong organizational, analytical, and strategic thinking skills crucial.
Strong commitment to teamwork and building collaborative relations with other AAMC departments. Ability to manage multiple priorities in a team-based environment.
Ability to travel to the AAMC Annual Meeting and potentially other meetings with significant number of exhibitors.
Detail-oriented, proficient in managing diverse projects and activities simultaneously and in meeting deadlines. Ability to inspire colleagues to do the same.
Ability to work with minimal direction
Openness to exploring new technologies and new ways of doing business and strategizing how environmental and technological changes suggest new opportunities
