Administrative Analyst/Specialist Exempt I
RESPONSIBILITIES & DUTIES:
Performs a variety of complex and specialized administrative and technical duties to support the Faculty Affairs, Success and Equity (FASE) Office, the Associate Vice President for FASE and the Provost, including: faculty appointment letters and contracts; compiles and analyzes data pertinent to processes and procedures, retention, tenure and promotion (RTP), post-tenure review, sabbatical leave eligibility, range elevation program, temporary faculty entitlements and workload assignment priorities. Provides faculty data to various areas of campus. Responsible for tracking accurate entitlement records for lecturer faculty. Generates reports and provides end-user support to student employees, faculty and administration. Compiles and maintains tracking files to support policies & procedures. Interpret and apply Unit 3-Faculty and Unit 11-Academic Student Employee Collective Bargaining Agreements to maintain compliance with employee union, state and federal regulations. Provides information, for example for CFA union requests, and develops data reports on a periodic and ad hoc basis.
Manages and maintains the Faculty Affairs Calendar webpage and FASE web pages, in compliance with accessibility standards. Maintain and manage Interfolio systems for faculty evaluations. Collaborates with vendor support services for regular systems maintenance or other issues. Supports existing processes and workflows such as CHRS Recruiting, CoursEval, Adobe Sign, Qualtrics and Interfolio.
Provides support and on-site training as needed to Program Chairs, faculty and staff members to develop, populate and maintain faculty recruitment pools in CHRS Recruiting. Coordinates, maintains and acts as the primary point of contact for the faculty recruitment system. Provides user support for internal users and external applicants, including problem resolution and system access. Serves as the functional CHRS Recruiting/PeopleSoft module and security lead; collaborates with IT regarding PeopleSoft functionality for FASE. Collaborate with HR and IT to ensure proper Faculty Affiliations and Account Provisioning and troubleshoot exceptions as needed. Participates in CHRS Recruiting/PeopleSoft implementation committees for system upgrades and maintenance pack testing. Coordinates system configuration and upgrades. Monitors, analyzes, verifies, and reconciles data to ensure system integrity and reporting accuracy. Serves as campus representative in CHRS Recruiting and Academic Personnel User Group calls to discuss best practices and CSU initiatives. Assists with defining and managing CHRS Recruiting/PeopleSoft access roles. Coordinates with Institutional Research, the Provost's and President's offices, Human Resources, the schools and academic programs, Academic Planning and Budgeting, the Chancellor's Office and AAP/EEO regarding data needs.
The successful candidate will coordinate with HR and Payroll to streamline processes and utilize the Temporary Academic Appointments in CHRS Recruiting/PeopleSoft. Uses professional standards and ethics of data management and is expected to be proactive in detecting and resolving data errors. Assists with management of the budget and fund balances to ensure budgets are in compliance. Performs other duties as assigned.
REQUIREMENTS OF POSITION:
Bachelor's degree required, with a minimum of 2 years of experience in a progressively responsible human resources or academic personnel office involving the use of technical information systems and application program packages. The successful candidate will have expertise in administrative survey techniques, operations and systems analysis, statistical and research methods, and the ability to interpret and evaluate results.
Experience with PeopleSoft within a university environment strongly preferred. Demonstrated ability to mine data, research variances, and perform quantitative analysis. Possess computer/technical, administrative, mathematical, analytical reporting skills and independent judgment. The successful candidate should be a strategic thinker with strong problem-solving skills who can anticipate potential challenges, successfully implement systems, and demonstrate advanced data modeling and reporting skills, using Excel pivot tables, macros, nested 'if statements, translation tables and lookup functions. The successful candidate should be able to apply independent judgment related to the use of confidential information. Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved. Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively. Ability to use ingenuity in determining methods to achieve programmatic goals and develop and implement program policies required. Ability to train others on new skills and procedures and provide lead work direction. Must possess demonstrated ability to work independently to resolve problems; to analyze and interpret university policies and procedures; and to interact with all levels of staff and administration and experience handling situations of a highly sensitive and confidential nature. Advanced knowledge and skills relating to common software application packages; equipment platforms; reference database systems including sources and training methods; understanding of network data communications and use of multimedia systems. Proven track record of implementing, updating and maintaining proprietary systems. Demonstrated use of consultative skills to assess user needs and provide practical and thorough solutions; knowledge of information technology systems including campus-wide systems, network administration, statistical databases; ability to interpret collective bargaining agreements for Unit 3-faculty and Unit 11-academic student employees.

Hiring Range: $3,897 - $5,000 per month
