Job Description:
General Summary:
Report directly to the Dean; provides administrative support to ensure efficient operation for the Dean's office. Responsible for the smooth operation of the day-to-day business of all aspects of the School of Education by providing management and supervision for non-exempt office support staff, coordination of major SOE events, and collaboration with cross-campus departments.
Job Duties Include:
Provide confidential administrative support to the School of Education Dean. Write and distribute email, correspondence memos, letters and forms. Track faculty review and promotion schedules. Develop and maintain filing systems. Attend Administrative Team meetings and take minutes. Update and maintain office policies and procedures. Coordinate travel details for conferences and off-campus meetings.
Coordinate the Dean's calendar and School of Education department calendars. Schedule and support School of Education committee meetings and campus events, including: SOE Retreat, Christmas event, quarterly pop-up socials; receptions, and other events as needed. Attend quarterly Deans' Administrative Support Staff meetings, volunteer for high events (graduate, undergraduate commencement), and provide support for Faculty in-service meetings.
Support faculty, adjunct faculty and staff hiring processes. Coordinate interview and travel schedules. Provide support to new employees to assist with access to campus systems including keys, mailbox, SOE Matthew and SharePoint. Update SOE group distribution list as needed. Update Adjunct Faculty Handbook annually.
Supervise graduate assistants and student workers. Includes hiring, coordinating work schedules, assigning and overseeing projects, submitting hours/payroll.
Coordinate monthly EdTalk events. Contact speaker to request items, collaborate with University Communications on email invitation; collect updated email address lists from various departments.
Collaborate with the budget office on bookkeeping projects. Reconcile monthly p-card statement.
Support School of Education as BEC (Building Emergency Coordinator). Attend training sessions for evacuation drills and lockdown protocols. Serve as designated Power User for SOE.
Requirements:
AA, AS degree or equivalent. Bachelor's degree, a plus.
Two years assisting upper level management personnel and/or executives. Two years supervory experience.
Strong interpersonal skills, including ability to resolve disputes; able to complete multiple tasks simultaneously.
Proficeint with Microsoft Office suite, inlcuding Word, Outlook, and Excel.

Position will remain open until filled.
Position start date August 1. This is
a full time position for 11 months a year, July's off.
Salary: $23.50 per hour
